The Business/Administrative Associate II performs financial analysis and strategy including but not limited to maintaining financial solvency; meeting fiscal goals, managing financial projections and budget preparation and oversight for all funding sources, university procurement; contract negotiations and fiscal compliance with federal and other regulatory agencies as well as university policies and procedures, including state, institutional, and external agencies.

Duties & Responsibilities:
  • Coordinate and act as lead support staff for Medicaid Services and Drug Information unit business operations, including day-to-day financial activities such as purchasing, travel arrangements, expense reports, and general operational activities, such as annual budgeting, monthly and quarterly reconciliation, and reporting.
  • Act as pre-award specialist for department grants, including:
    • Manages and executes all sponsored project applications.
    • Researches and formulates all grant/contract budgets.
    • Assist faculty members and principal investigators in the preparation of and submission of research proposals to sponsoring agencies.
    • Assist in planning, coordinating, and monitoring research activities and the department's procedures designed to comply with appropriate regulations relating to research grants and contracts.
    • Review completed applications and contracts for accuracy and compliance with the requirements of the University and funding agency.
    • Advise investigators regarding grant applications, deadlines, and projections for future research funds.
  • Coordinate and work closely with the Medicaid Services and Drug Information unit on the development of contract budgets and contractual agreements, service agreements, and the compensation methodology for services rendered.
  • Assist the department grant coordinator with post-award support, including:
    • Manage the monthly financial reporting and reconciliation for assigned sponsor projects.
    • Administer and maintain the disbursement of grants pertaining to budgetary guidelines, including personnel sourcing.
    • Disbursements of funds may include payments and reconciliation via Emburse Enterprise and iBuy.
  • Assist the director of administrative operations with financial support transactions on departmental accounts, such as journal vouchers, report assembly, resolving vendor payment issues, etc.
  • Responsible for audit reviews. Serve as the primary contact to internal and external officials to facilitate auditing activities and provide accurate financial data to comply with established audit timelines. Implement recommendations/procedures in responses to any audit findings.
  • Manage inventory/supplies and establish/maintain security guidelines for equipment control for the unit.
  • Perform other related duties and participate in special projects as assigned.


Minimum Qualifications Required:

  1. Bachelor's degree in business administration, management, or a field related to the position.
  2. Five years of professional business, financial, and/or managerial work experience.
(NOTE: A Master's Degree in an area consistent with the duties of the position may be substituted for one (1) year (12 months) of work experience.)

Preferred Qualifications:
  • Bachelor's degree in business administration, with specialization in accounting or related field; MBA or Master's degree in finance, accounting or related field or at least three years' experience in accounting-related work.
  • Operational knowledge and experience of business/finance, preparation and management of budgets and budget policies and procedures/practices, contracts, property accounting, management principles and best practices required, preferably within a university/academic administration or healthcare business/operations environment.
  • Ability to demonstrate excellent organizational, analytical, problem solving and decision making skills to produce accurate, detail-oriented work, while meeting stringent deadlines.
  • Ability to demonstrate strong interpersonal skills to develop/maintain good, efficient, collaborative work relationships.
  • Demonstrable ability to exercise independent judgment and discretion Strong oral and written communication skills.
  • Proficiency with the Microsoft Office suite, esp. Excel, Word.
