In General

The primary responsibility of this position is to manage the entire payroll process and to either manage or assist in supporting other accounting functions, such as accounts receivable and certified payroll, which are needed to keep TMG's financial operations and workflow systems current and accurate. The Staff Accountant position reports directly to TMG's Controller.

Essential Functions of the Staff Accountant Position

Perform job responsibilities in a timely and accurate manner, communicate with management and co-workers in an effective, courteous, and professional manner, abide by all regulations, policies, work procedures and instruction as required, and treat personal information, sensitive data, and other financial information on a need-to-know basis and in a strictly confidential manner. The employee performing this position is regularly required to talk and hear. The employee is frequently required to stand, walk, use hands to finger, handle, and feel, and reach with hands and arms. The employee will be frequently sitting and occasionally required to climb or balance, stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required in this position include close vision, distance vision, color vision, peripheral vision, depth vision, and the ability to adjust focus.

Responsibilities

Payroll preparation, processing, and reconciliation:



  • Maintain accurate wage rates, accrual rate,s and other deductions for each employee.
  • Collect all timesheets on a weekly basis. Review for accuracy. Actively follow up on any discrepancies.
  • Identify projects requiring Davis-Bacon wage rates; ensure employees are paid accordingly.
  • Coordinate and collect certified payrolls from subcontractors when required.
  • Timely process certified payrolls where required.
  • Enter weekly and bi-weekly timesheet information into the Viewpoint payroll module.
  • Generate payroll and distribute pay stubs on a weekly and bi-weekly basis.
  • Timely process payroll taxes to the appropriate agencies.
  • Manage or assist with accounts receivable to include contract billings.
  • Work with insurance carriers to administer the employee benefit programs to include accurate employee deductions, bill reconciliations, and payment of accurate premiums.
  • Timely process 401K contributions.
  • Process long-term and short-term disability billings.
  • Timely process benefits eligibility information for qualifying employees.
  • Administer the COBRA insurance notification and coverage process.
  • Prepare all monthly, quarterly, and annual payroll tax returns (multi-states and federal).
  • Generate and distribute year-end W-2s.
  • Maintain accessible payroll records for the purpose of providing an up-to-date reference and audit trail for compliance.
  • Research and implement payroll requirements for any new state that TMG Construction may conduct business.


Other responsibilities:



  • Prepare billings and record all costs associated with the joint ventures.
  • Work with potential joint venture partners to verify record keeping between the two companies is in agreement.
  • Maintain the financial statement parameters within the accounting software for the joint ventures.
  • If applicable, establish procedures to track payroll hours associated with joint ventures: timely and accurately process joint venture payroll from timecard entry to paycheck; prepare payroll tax reports and process tax payments; set up and maintain payroll-related accruals.


  • Assist in other accounting areas as needed: accounts receivable, accounts payable, and general ledger.



Minimum Qualifications



  • Minimum of 2 years of related experience
  • An associate's degree in accounting, a Bachelor's degree in accounting, or accounting/payroll certification is preferred.
  • Construction accounting with a general contractor is preferred.
  • Proficient in MS Office applications, Excel, Word, and Outlook.
  • Proficient in accounting & reporting applications; experience in Viewpoint and/or ADP desired
