Administrative Assistant

Position Summary: The Administrative Assistant provides comprehensive support for general office operations, events, and projects. This role assists officers, program leaders, visitors, volunteers, staff, corps members, community groups, and clients by performing a variety of administrative tasks. Responsibilities include answering telephones, managing correspondence, and handling day-to-day office duties. This is a full-time, on-site position.

Essential Responsibilities:



  • Provides timely, smooth and professional communication and correspondence related to all corps programs, including feedback and follow-up with staff, leadership, corps members, program leaders, clients, visitors, and volunteers
  • Manages and distributes incoming calls, mail, email, and faxes
  • Creates weekly electronic newsletter, the weekly worship bulletin and prayer list
  • Compiles and enters monthly electronic statistics for programs and ministries
  • Maintains electronic membership rolls, corps directory, group and ministry lists
  • Maintains electronic calendars for program year and Christmas season
  • Assists corps officers in all aspects of event planning and preparation
  • Maintains inventory of office and program supplies; ordering supplies as needed or requested
  • Maintains program-related files according to The Salvation Army standard filing system
  • Maintain mission and vision bulletin boards
  • Responsible for summer camp registrations, correspondence and securing drivers
  • Manages rental agreements for use of building and equipment
  • Facilitates volunteer registration and required training (Safe From Harm) and refresher trainings
  • Supervises volunteers as needed
  • Assist bookkeeper with monetary counting as needed and be a back-up check-signer
  • Perform other duties as assigned


Qualifications:

Education/Experience:



  • High school graduate or equivalent (GED) required; or any equivalent combination of training and experience which provides the required knowledge, skills, and abilities
  • Two years of office or administrative experience (preferred)


Skills, Knowledge & Abilities:



  • Maintain strict confidentiality
  • Excellent typing, grammar and writing skills
  • Excellent organizational skills
  • Ability to communicate effectively and accurately


Computer Skills:



  • Proficient in Microsoft Office 365 Suite, including presentation software and calendar management
  • Working knowledge of TEAMS and SharePoint
  • Capability and willingness to learn new software as needed


Certificates and Licenses:



  • Complete Safe From Harm training, and keep current as needed
  • Must have a current valid driver's license and pass the Salvation Army Motor Vehicle Record check (MVR)
