The opportunity

Southern New Hampshire University is seeking a student employee to fill the role of Front Desk Receptionist at our partnership organization Friends of the Manchester Animal Shelter in Manchester, NH.A receptionist is the heart-beat of any animal shelter. They will need to communicate all calls, emails, or
in-person happenings to the proper person via Asana (our Call Log). Receptionists are responsible for answering phone calls & speaking to the public, responding to emails, returning messages, Working Open Hour shifts & any administrative communications. On top of the administrative duties, receptionists are to help with daily shelter maintenance like laundry, dishes, floors, organizing our
Donation Shed & doing the Small Animal Care in the lobby if no volunteers are able to get them done. This role is entirely based on communication & not being afraid to ask questions, tell people "no" & educating the public on other potential options for their needs. Having a Facebook Profile is not required but highly recommended, as our receptionists also help post our "Lost & Found" animals on our Lost Pets Facebook Page.

Job Responsibilities:

  • Answering phone calls with a personable demeanor.
  • Recording answered phone calls in Asana.
  • Recording & returning messages left on the voicemail machine.
  • Recording voicemails in Asana.
  • Answering emails through the FMAS Info account.
  • Answering & attending to Lost & Found Reports submitted by the residents of Manchester, NH.
  • Respecting the information you learn about the animals & keeping all information confidential that is not yet accessible to the public. (ex: if an animal is not available yet, we should not be taking photos of them, or telling friends about them)
  • Educating people on other options for vetting, surrender, S/N, etc.
  • Assisting with the Pet Food Pantry on Tuesdays & Saturdays.
  • Assisting with dishes when needed.
  • Laundry: Main Building & Roy Building.
  • Floors: Hallway, Lobby, Vestibule, Offices, Bathrooms.
  • Helping with trashes: Lobby, Office, Bathroom, Kitchen, Hallway.
  • Organizing Donation Shed.
  • Re-stock the shelter with supplies: Towels, Toys, Treats, Cleaning Supplies, Gloves, Bathroom
  • Products, Laundry Products, Cardboard Trays in each Cat Room, etc.
  • Communicate concerns with the reception area/lobby to Director of Operations 1st, Volunteer
  • Coordinator 2nd.
  • Communicate concerns with volunteers to the Volunteer Coordinator.
  • Respecting the protocols of ACO & MPD cases.
  • Having Walkie-Talkie on at all times.
  • Ask questions; do not assume.

Minimum Qualifications:

  • Current enrollment in classes as part of a SNHU degree program
  • Work study part of financial aid package
  • Students with work study may be prioritized
  • Reliable transportation
  • Must love animals & treat them with utter respect.
  • Must be 18 years or older. Please Provide ID.
  • 1 year previous experience working in administration.
  • Able to use programs such as Asana, EZ Texting, Excel, Canva, Photoroom, etc.
  • Is capable of a physically demanding job.
  • Must be able to thrive in a fast-paced environment.
  • Must be able to communicate when a question arises.
  • Able to pay attention to detail.
  • Able to multi-task.
  • Able to lift up to 50lbs.
  • Capable of being around various chemicals & waste.

Learning Outcomes:

Being a receptionist at any animal shelter builds a strong sense of self-worth & responsibility. Your job is to properly communicate information from one source to another, and don't be fooled, there is so much to communicate in an animal shelter! You will be using programs such as Asana, to assign certain calls & tasks to the appropriate staff member. The more you learn & are able to educate the public on, the more you can help our Coordinators. Paying attention to detail & note taking are crucial skills one must have in this role, where sometimes the receptionists are our first source of triage in a situation. Every Wednesday, Saturday & Sunday we do have Open Hours to the public; so if your shift intertwines with that you will be interacting with the public for these hours. It is important to remember in this role that there is no judgement to those who bring the animals into these situations, and to treat everyone with respect.

Work Schedule: Monday - Thursday or Tuesday - Friday.

Compensation

The hourly pay range for this position is $12.00 - $15.00. Actual offer will be based on skills, qualifications, experience and internal equity, in addition to relevant business considerations.
