Job Description

Summary of Position

The Student Accounts Representative is responsible for a series of process-driven tasks within the Student Accounts department, including third-party billing, online payment plans, cash-batch reconciliation, and authorizing student credit refunds. This role counsels students and their families regarding student accounts. This position coordinates all communication from the Student Financial Services office, and is also responsible for hiring, training, scheduling, and supervising student employees.

Primary Responsibilities

  • Manage various student account functions such as preparing daily bank deposits, processing credit refunds, voiding uncashed checks, reconciling international wire payments,and balancing outside scholarship funds in collaboration with the Administrative Accounting and Financial Aid departments.
  • Coordinate external invoicing processes for various third parties, such as employers, the military, government scholarship organizations, the Department of Vocational Rehabilitation Services, and Native American tribal organizations.
  • Serve as the primary contact and troubleshooter for the student accounts software provider.
  • Coordinate the reconciliation and billing of the University's bookstore accounts program.
  • Reconcile daily cash batch and resolve cash register and/or online payment errors.
  • Counsel prospective and current students on topics related to online payments, third-party billing, credit refunds, and bookstore accounts.
  • Approve or decline transcript requests for the Registrar's office.
  • Coordinate all communication from the Student Financial Services office.
  • Hire, train, schedule, supervise, and manage performance of student employees.

Additional Responsibilities

  • Present information regarding student accounts at student orientations.
  • Perform office operations duties, such as ordering supplies, sorting incoming mail, and scheduling facility management work requests as needed.
  • Other responsibilities as apparent or assigned by supervisor(s).

Work Environment and Physical Demands

  • The typical work environment is an office.
  • Hybrid position: Works four (4) days per week on-campus with one (1) remote work day, depending on department and University needs. The hybrid schedule will begin after successful completion of the new employee engagement period and once all onboarding and orientation has been successfully completed.
  • Regular computer use.
  • Frequent interactions that occur in-person, over the phone, and Zoom.
  • May work some evening and weekend hours during student orientation or related-events (seldom).
Qualifications

Minimum Qualifications

  • Bachelor's degree.
  • At least three (3) years of related professional experience. Related experience may include customer service, counseling, insurance claims, personal finance, banking, and/or K-12 or higher education.

Preferred Qualifications

  • Bilingual (speaking): Spanish, Hmong, Somali, or Arabic.

Knowledge, Skills, Abilities

  • Committed to providing access to higher education.
  • Ability to carry out duties with accuracy and attention to detail despite frequent interruptions.
  • Strong problem-solving skills: troubleshoot student account issues and processing anomalies and also able to offer appropriate guidance to families/students in challenging situations.
  • Professional written and verbal communication skills, including ability to actively listen; Able to disseminate complex procedures into clear instructions for students/families.
  • Effective time management skills. Example: timely completion of projects and effectively prioritizing work. Ability to work independently with little supervision
  • Ability to maintain confidentiality and demonstrate initiative.

Compensation & Benefits at Augsburg

  • The compensation range is $21.00 - $23.00 per hour, DOQ.
