Job Summary

We're seeking a Pre-Award Analyst II to join our Grant & Contract Services (GCS) team - the backbone of WHOI's research enterprise. In this role, you'll partner with principal investigators, administrators, and funding agencies to guide proposals from idea to submission and ensure smooth award negotiation. You'll be a trusted advisor for federal, state, foundation, and industry-sponsored projects, providing both compliance expertise and exceptional service.

Job Description

Essential Functions & Duties

  • Collaborate with researchers to review and submit funding proposals that meet all sponsor and institutional requirements.
  • Serve as a liaison between scientists, departmental grant administrators, funding agencies, and WHOI administrative offices.
  • Interpret and apply federal regulations, sponsor guidelines, and institutional policies (e.g., Uniform Guidance, FAR clauses, NSF PAPPG).
  • Review proposals for compliance, identify potential issues, and work with teams to resolve them before submission.
  • Review and negotiate new grants, contracts and agreements from diverse sponsors.
  • Provide guidance, and resources to strengthen proposal preparation skills across the research community.
  • Partner with post-award colleagues to ensure smooth handoff and full life-cycle award support.

Required Education & Experience

  • Bachelor's degree or equivalent combination of education and experience.
  • 3+ years in pre-award research administration or grants management, preferably in an academic or research setting.
  • Demonstrated experience with federal awards (e.g., NSF, ONR, DoD) and sponsor systems.
  • Strong knowledge of research administration regulations and compliance requirements.
  • Excellent organizational, time management, and communication skills.
  • Ability to manage multiple priorities in a deadline-driven environment while delivering exceptional customer service.
  • Proficiency with Microsoft Office, Adobe PDF, and electronic research administration systems.

Preferred Education & Experience

  • Certified Research Administrator (CRA) designation.
  • 5+ years of directly related pre-award experience.
  • Advanced expertise in interpreting complex sponsor regulations and contracts.
  • Familiarity with both pre- and post-award processes.
