Organizational Unit Overview
The Office of the Graduate School oversees the academic operation of 66 master's degree programs, 13 doctoral degree programs, 4 professional degree programs, 2 specialist programs, and 90 graduate certificate programs at East Carolina University. This oversight includes: graduate program marketing and recruiting; processing over 5,000 applications per year; graduate student admissions; graduate curriculum development and implementation; graduate program review by external review teams; the determination and interpretation of academic policy pertaining to graduate students and programs; and the graduation of over 900 graduate students annually. In addition, the Graduate School administers the annual distribution of over $7.2 million in graduate assistantships and $3.3 million in out-of-state and in-state tuition awards.
Job Duties
Reporting to the Dean of the Graduate School, this position has primary responsibility for ECU's graduate student recruiting, admission, and enrollment management. The position oversees a staff of five graduate admission professionals. This position works as an advocate for students and helps identify and address ways to continuously improve the student application experience. Marketing and communication responsibilities are shared with professional staff in University Marketing Strategy. The Assistant Dean works collaboratively with senior staff of the University, including associate deans, department chairs, graduate program directors, faculty and staff throughout the university to achieve the University's graduate recruiting and enrollment goals.

Graduate Student Admissions (35%):

  • Assists the Dean and senior academic officials to formulate academic policies related to graduate admission and eligibility standards. Interprets and oversees day-to-day implementation of these admission policies and standards.
  • Oversees the user portal - design, implementation, operation and continual improvement of an online electronic graduate application system.
  • Supervises a staff of four graduate application processors and the Assistant Director for Admissions, Recruiting, and Outreach.
  • Supports decentralized admission decisions at the program level by providing electronic systems, training and support for graduate faculty, program directors and support staff.
  • Monitors decentralized graduate admission decisions at the program level for timeliness, quality and adherence to university standards.


Graduate Student Recruiting (35%):

  • Achieves university graduate enrollment goals by developing and implementing strategies to increase the number of inquiries, contacts, prospects, and decisional graduate applications.
  • Oversees the design, implementation, maintenance and operation of a user-friendly online customer relationship management system (CRM) for recruiting graduate students.
  • Works collaboratively with academic units to develop CRM communication plans and email templates customized at the program level for ECU's inventory of graduate certificates (90), master's degrees (66) and doctoral research (13), professional degrees (4), and specialist degrees (2).
  • Organizes ECU's participation in graduate recruiting fairs throughout NC and other locations as needed. Visits other institutions and industry partners as needed to recruit graduate students.
  • Engages with University Marketing to develop and refresh printed recruiting media.
  • Works collaboratively with University Marketing and other offices to design and conduct online advertising campaigns.

Graduate Student Enrollment Management (30%):

  • Assists the Dean of the Graduate School to develop enrollment targets for each of ECU's graduate programs in collaboration with campus business and academic leaders.
  • Assists the Dean of the Graduate School to develop and conduct annual campus-based recruiting workshops for graduate program directors, department chairs, graduate faculty and staff.
  • Designs and implements communication plans to improve the yield of enrolled students (students admitted but not registered).
  • Other duties as assigned by the Dean of the Graduate School.

Minimum Education/Experience

  • Master's degree and at least three years of relevant experience
  • Demonstrated experience with student population
  • Demonstrated experience establishing relationships and collaborating collegially with students, staff, faculty, administrators and the community
  • Excellent oral and written communication skills
  • Demonstrated experience organizing and managing work, supervising staff, and meeting deadlines
  • Knowledge of common software packages including Word and Excel.

License or Certification Required by Statute or Regulation

Preferred Experience, Skills, Training/Education
Experience with student database software such as Banner, Extender, ecuBIC reports, and content relationship management ( CRM) software such as Salesforce or TargetX. Interpersonal skills, tact and diplomacy. Strong problem-solving skills.
