Position Summary: This employee, with minimal supervision, provides project/program support and performs high-level office and administrative support tasks. The employee also supports a team within the organization by coordinating calendars, scheduling meetings, organizing events, and managing the team budget. The employee may mentor and/or train employees as needed. The employee uses discretion to make judgments based on operating guidelines and with respect to communications and confidentiality.


Key Responsibilities:



  • Coordinates project specifications and construction administration transactions (RFI/Submittals).
  • Documents meeting minutes, narratives and reports.
  • Manages pictures, sketches and notes from site visits.
  • Contacts city officials and utility companies. Schedules appointments for service testing.
  • Sets-up job numbers, phases and folders.
  • Coordinates scope, due dates, deliverables and billing phases.
  • Ships deliverables to clients.
  • Scans drawings and documents.
  • Provides administrative support for a team which includes distributing mail, filing documents, ordering supplies, managing inventory, scanning documents, etc.
  • Reviews and answers correspondence
  • Conducts research, prepares statistical reports and spreadsheets, and prepares presentations.
  • Coordinates calendars and schedules team meetings.
  • Organizes and promotes team events.
  • Manages and records team budgets and expenditures.
  • Assists with team expense reports.


Qualifications:



  • 5 years' relevant experience required
  • Previous industry experience required
  • Requires a broad understanding of Henderson and/or HBS operations, organizational procedures, and personnel
  • Proven ability to work with a wide range of disciplines connected with the successful completion of projects
