Title: Program Operations Associate Location: Alexandria, VA or Remote US Citizenship: Required Clearance: Secret or higher clearance preferred, but not required The Program Operations Associate will serve in a critical support role within the Program Management Office (PMO), responsible for a wide range of administrative, coordination, and operational tasks in support of program execution and personnel lifecycle activities. Responsibilities:
- Provide general scheduling support for PMO leadership and key project meetings
- Maintain calendars, reserve conference rooms or virtual links (e.g., Zoom, MS Teams), and prepare meeting materials
- Take and distribute meeting notes, follow up on action items, and assist with basic project documentation
- Support onboarding logistics for new hires, including coordinating with HR, IT, and facilities
- Facilitate first-day orientation and assist with checklists, account access, and training compliance
- Ensure timely processing of onboarding documents and contract deliverables
- Assist the PMO with tracking tasker assignments, updating team rosters, and managing internal workflows
- Support compliance reporting, staff change documentation, and timekeeping data coordination
- Help with logistics for team offsite meetings, town halls, or government customer reviews
- Coordinate across corporate functional departments to ensure operational continuity
- Prepare routine internal communications, trackers, and reports
- Maintain digital and physical files, ensuring timely and accurate updates to spreadsheets etc. as required
- Ensure compliance with data retention and confidentiality protocols
Requirements:
- Bachelor's degree preferred, with 0-2 years' experience working in a project support role, preferably in a government contracting or professional services environment
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word, Teams)
- Experience with calendar management tools and applicant tracking systems strongly preferred
- Familiarity with HRIS systems or workflow platforms, such as SharePoint, preferred
- Strong verbal and written communication skills
- High attention to detail, organization, and ability to handle multiple priorities under tight deadlines
- The ability to maintain strict confidentiality in all HR and candidate matters
- Comfortable interacting with executive leadership, candidates, and clients in a professional manner
- US Citizenship required; Secret or higher clearance preferred
