Fred Hutch's Philanthropy program raises funds for cancer and related disease research, care, and education to help Fred Hutch become the world's best cancer center. Since the April 2022 merger that led to the formation of Fred Hutchinson Cancer Center, Fred Hutch has served as the cancer program for UW Medicine, and Philanthropy is proud to raise funds that fuel the adult oncology program on behalf of both Fred Hutch and UW Medicine.

Our team of more than 140 Philanthropy staff implement high-performing, relationship-based fundraising programs that engage and inspire thousands of supporters who are passionate about preventing and eliminating cancer and infectious disease. Our FY26 goals include increasing our annual fundraising, deepening our patient family fundraising, and advancing the first phase of our ambitious comprehensive campaign through Fred Hutch's 50th Anniversary. Responsibilities

The Executive Assistant to VP, Philanthropy, reports to the Vice President and is part of a five-member team that supports the department's annual and campaign goals.

The Executive Assistant to VP, Philanthropy, provides proactive executive level support while maintaining attention to detail, confidentiality, and a high level of customer responsiveness. The Executive Assistant to VP, Philanthropy, will plan, prioritize, and organize a diversified workload in a fast-paced environment. The position requires sound judgement along with strong organizational and communication skills. The ability to see all the pieces of the puzzle to avoid possible complications is key to the success of this role. Professionalism is critical in all interactions.

Some travel and weekend and evening work may be required.

This position is a hybrid role with a minimum two days per week at our South Lake Union campus.

Primary/Essential Duties

    Manage complex and continually evolving calendar (resolve overlapping commitments and protect time for priorities).
  • Works on assignments that are complex in nature where critical thinking skills and initiative is needed to resolve problems.
  • Exercise judgement within defined procedures and practices to determine appropriate action.
  • Manage logistics for special and cyclical department events; facilitate department all-hands meetings: schedule, draft agenda, and provide audiovisual support.
  • Manage and reconcile expense reports, facilitate the purchasing/procurement process, and support department contract administration within specific time frames; coordinate required activities with internal and external customer/stakeholders to ensure proper flow of communication concerning vendor contract-related issues.
  • Assist in training department team members and on-boarding new hires.
  • May support executive level recruitment activities.
  • Generate memos, emails, reports, and presentations.
  • Work on projects related to department operations, specifically around data gathering, reporting, and visualization.
  • Manage all department event/meeting related activities.
  • Coordinate the allocation of space for department employees.
  • Support department budget development and reconciliation.
  • Assist with the production of executive and department deliverables.
  • Draft, edit, and proofread business correspondence and presentations.
  • Mange time and expense approvals on behalf of the executive as requested.
  • Coordinates VP, Philanthropy, meetings, email, travel, presentations, correspondence, and documents.
  • Other duties as assigned.


Qualifications

MINIMUM QUALIFICATIONS:

  • Bachelor's degree or equivalent experience.
  • Five years administrative support experience required.
  • Proficiency in MS Office with expertise in Microsoft Word, PowerPoint, and Excel.
  • Proven experience managing a demanding and complex calendar.
  • Exceptional communication skills: the ability to communicate clearly and concisely, both verbally and in writing.
  • A high level of accuracy and attention to detail.
  • Ability to analyze and revise operating practices to continually improve efficiency.
  • Superior organization skills and dedication to completing projects in a timely manner.
  • Adaptable problem-solver.
  • Ability to work well with all levels of internal management and staff.
  • The ability to juggle multiple critical requests autonomously and effectively.
  • Demonstrates discretion and confidentiality.
  • Thrives in a fast paced and dynamic environment and exhibits calmness under pressure.

PREFERRED QUALIFICATIONS:

  • Experience in nonprofit, research, or health care environment with campaign planning or campaign implementation experience.
  • Proficiency with a CRM, Raiser's Edge/RENXT, or related fundraising software.

The annual base salary range for this position is from $78,894 to $118,310, and pay offered will be based on experience and qualifications.
