ADMINISTRATIVE ASSISTANT

M-F: 1st Shift (8am - 4:30pm)

We are seeking a professional, organized, and friendly Administrative Assistant to manage our front desk and provide administrative support. This role is ideal for someone who thrives in a dynamic environment, enjoys interacting with people, and has strong attention to detail. You will serve as the first point of contact for visitors and employees, ensuring a welcoming environment while supporting day-to-day office operations.

DESCRIPTION OF ESSENTIAL DUTIES:

Reception Duties:

  • Greet and welcome visitors in a professional and friendly manner.
  • Answer, screen, and direct incoming calls and faxes.
  • Manage front desk activities, including receiving deliveries and processing inbound and outbound mail.
  • Maintain a clean and organized reception area.
  • Ensure all conference rooms are clean, organized, and in good order.
  • Prepare coffee/refreshments for employees and guests as needed.

Administrative Duties:

  • Provide administrative support to various departments, including document filing, data entry, preparing reports, presentations, and correspondence.
  • Scan checks for remote deposit.
  • Coordinate and arrange employee and customer lunch orders and setup/cleanup.
  • Process, distribute, collect, and mail birthday and anniversary cards.
  • Support employee engagement activities, including planning and organizing company events, celebrations, and recognition programs.
  • Coordinate travel arrangements and accommodations for employees as needed.
  • Maintain office supplies and place orders when necessary.
  • Comply with all quality, safety, and work rules and regulations.
  • Perform other miscellaneous duties as assigned.

QUALIFICATION REQUIREMENTS:

  • Education level preferred: High school diploma or equivalent.
  • Previous experience as a receptionist, administrative assistant, or in a similar role.
  • Strong interpersonal and customer service skills.
  • Professional appearance and demeanor.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Excellent time management and multitasking abilities.
  • Ability to maintain confidentiality and handle sensitive information.

WORK ENVIRONMENT:

While performing the duties of this job, the employee is frequently required to talk or hear, stand, and/or walk, use hands to finger, handle or touch objects or controls, and move from place to place. The employee is regularly required to sit, balance, stoop, and occasionally reach above shoulders. The employee may occasionally lift and/or move up to 25 pounds.

The employee will spend most of his/her time in an office environment. The employee may occasionally be required to go to the workstations of other employees, including the production plant in which personal protection equipment may be required.
