What You Will Do

As the HR Onboarding & Staffing Coordinator, you will play a key role in supporting the full employee lifecycle for hourly internal and contingent staff. From coordinating interviews and onboarding new hires to managing internal job postings and supporting employee engagement programs, you will ensure a smooth and positive experience for all employees entering the organization. You'll be the go-to person for onboarding logistics, HR system access, and general employee support.

How You Will Do It

Interview & Hiring Coordination

  • Schedule and coordinate interviews for internal hourly candidates.
  • Create and manage internal job postings; coordinate candidate tiering.
  • Track job openings, transfers, and postings accurately.
  • Onboarding & Orientation
  • Meet with new hires post-offer to complete paperwork and share local policies (referral bonus, attendance, vacation/sick time).
  • Explain the HR model and assist with HR Portal setup (MFA, kiosk access).
  • Communicate new hire details to relevant departments for training and onboarding.
  • Facilitate New Hire Orientation in partnership with the Training Coordinator.
  • Conduct weekly check-ins with new hires during their first month, and follow-up at 60 and 90 days.

Contingent Workforce Support

  • Assist with creating job postings for contingent roles.
  • Coordinate with staffing agencies to schedule interviews and orientations.
  • Verify work hours and maintain the contingent staff tracker.
  • Ensure timely conversion of contingent staff to permanent roles.
  • Employee Support & HR Operations
  • Provide onsite support for employee concerns (pay, FMLA, unemployment, HR Portal).
  • Attend HPT meetings as HR support.
  • Report new hires for internal newsletters.
  • Process referral bonuses and PPE reimbursements/deductions.
  • Coordinate the local uniform program with CBRE.
  • Oversee the Service Anniversary Program (5-, 10-, 15-year milestones).
  • Plan and schedule employee events (recognition dinners, family fun days, etc.).
  • Assist with YourVoice survey administration.
  • Collect and complete I-9 documentation via the online system.
  • Maintain personnel files and ensure accurate filing.
  • Process Invoices for HR-related items (gym memberships, shredding, etc.)

What We Look For

  • Previous experience in HR coordination, onboarding, or administrative support.
  • Associates Degree in HR or business-related field preferred.
  • Highly proficient with Microsoft Office (Outlook, Word, Excel, Powerpoint)
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Ability to handle confidential information with discretion.
  • Proficiency with HR systems and tools (HR Portals, MFA setup, digital I-9 systems).
  • Comfortable working with internal teams and external staffing partners.
  • A proactive, people-first mindset with a passion for employee experience.

HIRING HOURLY RANGE: $20.57-$28.24 (Hourly rate to be determined by the education, experience, knowledge,skills, and abilities of the applicant, internal equity, location and alignment with market data.)
