Summary of Job Duties:Position Summary: Provide executive-level administrative support for the Office of the Dean. Will coordinate and screen the dean's schedule, anticipate and resolve issues, track budgets, help with faculty schedule and workloads, coordinate special events and other metrics to ensure the success of the College of Business & Industry. The position reports to the Dean of the College of Business and Industry. Qualifications:

Required Education and/or Work Experience: Associates degree and four years' experience in an administrative/secretarial position or related field or a bachelor's degree and two years' experience in an administrative/secretarial position or related field. Other job-related education and/or experience may be substituted for part of these requirements.

Preferred Education and/or Work Experience: Previous experience in an executive assistant role or in an administrative/secretarial position in higher education is preferred.

Essential Job Duties and Responsibilities:

  • Oversee daily office activities and provide administrative support for the dean, to include screening and handling telephone communications, greeting and directing visitors, and assisting with administrative problems and inquiries.

  • Serves as a primary point of contact and liaison between the office, various internal stakeholders including the Provost, departmental leadership, faculty, students, as well as external constituencies on a range of day-to-day issues.

  • Schedule and coordinate the dean's appointments and/or travel arrangements.

  • Work collaboratively with department heads and faculty to coordinate purchasing.

  • Organize meetings and special events; schedule and coordinate dates and times, venues, participant attendance, agendas, and facilities; record minutes and follow-up on matters arising from meetings.

  • Compose and prepare written documentation and correspondence for the office; screen and evaluate incoming and outgoing correspondence and prepare responses as appropriate.

  • Provide general oversight of student assistants and work collaboratively with other administrative assistants in the College and across campus.

  • Assist with administrative activities associated with academic affairs, such as contracts, teaching schedules, workload, and promotion.

  • Enhances professional growth and development through participation in educational programs, current literature, college and university meetings, and workshops.

Other Job Duties and Responsibilities:

  • Establish and maintain files and retrieve information as needed for reference or reports.

  • Prepare PowerPoint presentations.

  • Perform duplication and copying as needed.

  • Coordinates security and maintenance requests to building.

  • Other duties as assigned.

  • Responsible for maintaining a positive work atmosphere by acting and communicating in a manner to foster teamwork and by providing leadership to subordinates.

  • Requires consistent on-time attendance.

Knowledge, Skills, and Abilities: To perform the job successfully, the following competencies are required for the essential functions of this position:

  • Knowledge of general office management principles and procedures, including the operation of standard office equipment.

  • Excellent technical skills, including working knowledge of Workday, Microsoft Office Suite, and/or a willingness to learn new programs.

  • Excellent customer service, interpersonal, and communication skills.

  • Ability to coordinate and organize meetings and/or special events.

  • High attention for details.

  • Ability to extract and organize information.

  • Ability to multitask and prioritize.

  • Ability to work collaboratively with others.

Special Job Dimensions: Work performed primarily in an office setting. Occasional travel and extended hours required. While performing the duties of this job, the employee regularly exhibits digital dexterity when entering data into computer. Required abilities include walking, standing, and sitting for extended periods. Visual demands include close, relatively detailed vision when focusing on a computer screen. Employee regularly talks and hears. Office hours 8 a.m. until 5 p.m., Monday through Friday. Employee occasionally lifts items up to 10 pounds
