Vaco is currently seeking a Post-Closing Specialist for a corporation in Jacksonville, FL!

Full-time | Monday-Friday, 8:30 a.m. - 5:00 p.m.

About the Role

A leading law firm is seeking a Post-Closing Specialist to join its commercial real estate and housing practice in Jacksonville, FL.

The Post-Closing Specialist will play a key role in ensuring the accuracy and completeness of all real estate transactions after closing. This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities
  • Conduct audits of closed files to ensure completeness and accuracy.

  • Review closing packages to confirm that all documents are properly executed and recorded.

  • Identify and help resolve discrepancies or issues in closing documentation.

  • Verify that recording fees are paid and documents are returned promptly.

  • Reconcile fund disbursements against closing statements and ensure escrow balances are resolved.

  • Follow up on outstanding post-closing items such as missing signatures or documents.

  • Address post-closing issues or discrepancies that arise.

  • Provide clients with final closing documents and title insurance policies.

  • Ensure all documents are properly saved and named within document management systems.

  • Prepare and distribute final closing binders to clients.

  • Communicate with clients and stakeholders to provide updates on post-closing activities.

  • Coordinate with title companies, lenders, and other parties to complete all post-closing requirements.

Qualifications
  • Minimum of 2 years of experience in real estate transactions or a related field.

  • Strong organizational skills and attention to detail.

  • Ability to work independently and stay engaged without constant direction.

  • Quick learner with adaptability to new processes and tools.

  • Excellent written and verbal communication skills.

Technology Skills
  • Proficiency in Microsoft Office (Word, Outlook, Excel).

  • Experience with DocuSign, Adobe Pro, or Kofax.

  • Familiarity with ShareFile or other secure file collaboration platforms.

  • Experience with NetDocuments, Centerbase, or similar LMS/document management software is a plus.

Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual's skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs. The individual may also be eligible for discretionary bonuses, and can participate in medical, dental, and vision benefits as well as the company's 401(k) retirement plan.
