The HR Training Administrator provides essential support to the HR department by coordinating training programs and overseeing new hire orientation. This role is responsible for maintaining accurate employee records and training documentation within the HRIS, Learning Management System (Totara), and Docuware. The Administrator also tracks related expenses and ensures all training and compliance records are current and properly documented. Working closely with HR, Safety, site leadership, and other key stakeholders, the HR Training Administrator plays a critical role in supporting workforce development and ensuring adherence to company and regulatory standards. The HR Training Administrator will report directly to the HR Director.


Responsibilities

  • General HR Administrator Tasks
    • Manage service awards administration and serve as employee point-of-contact for concerns related to service awards.
    • Manage the VA on-the-job training program and serve as the employee point-of-contact for follow-up. Must document time and ensure appropriate documentation is sent and processed in a timely manner.
    • Perform general front-office administrative duties.
    • Track and reconcile department expenses.
    • Verify the organization's state and federal compliance posters are up-to-date on-site and on the Company's intranet.
  • HR Administrator (Training Focus)
    • Coordinate and schedule New Hire Orientation in conjunction with leadership and the recruitment team to ensure workforce needs are met.
    • Ensures New Hires receive new hire orientation (NHO) materials.
    • Lead and conduct new hire orientation with the assistance of Trainers and other Subject Matter Experts.
    • Serves as the primary point of contact for New Hires during NHO.
    • Ensures all NHO materials are stocked and coordinates SNF-provided lunches.
    • Enter and maintain training documentation in Totara (LMS) and Docuware.
    • Manages and coordinates the 90 Day Probationary Evaluation process, ensuring evaluations are conducted and maintained in employees' files. Notifies leadership and Employee Relations Manager of unsatisfactory or potential concerns related to probationary performance and attendance.
    • Manage the Seminar/Training Request process and maintain associated documentation and records.
    • Assists with the Education Reimbursement process and ensures appropriate approvals are obtained and records are maintained.
    • Assist with operator test scheduling, questions, and concerns.
    • Schedule and conduct Operator Proficiencies
    • Responds to training and professional development inquiries.
    • Administer and assign the requested training and Red Vector Courses
  • Department Specific
    • Support cross-departmental teams and projects as necessary.
    • Assist with special HR projects, functions, or events as needed.
    • Provide Receptionist/Front Desk coverage on an as-needed basis.
    • Perform other duties assigned by the Director of Human Resources.

Qualifications

EDUCATION:

  • High school diploma or equivalent - Required.
  • Bachelor's Degree - In Business, Human Resources, Education, Instructional Design, or Related Field. Preferred.

EXPERIENCE:

  • 1-2 years of Human Resources Experience is preferred.
  • 1-2 years of previous administrative experience required.

KNOWLEDGE, SKILLS, ABILITIES:

  • HRIS (ADP/Workforce Now/Workforce Management) experience preferred.
  • Proficient in Microsoft Office Programs.
  • Must maintain accurate and quality work performance with frequent distractions.
  • Ability to maintain confidentiality and a high level of integrity.
  • This position requires a highly motivated individual with excellent problem-solving skills, good interpersonal skills, and the ability to multitask.
  • Good communication skills (verbal & written).
  • Ability to demonstrate a strong focus on customer satisfaction and continual improvement.
  • Must be a self-starter who can function in a high-volume, dynamic work environment with little supervision.
