Bluehawk is seeking a detail-oriented and proactive Administrative Assistant (AA) to support the Department of Homeland Security's (DHS) Countering Weapons of Mass Destruction (CWMD) Directorate. The ideal candidate will provide a wide range of administrative and programmatic support functions to ensure efficient daily operations, smooth coordination between staff and leadership, and compliance with DHS policies and procedures. This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. Location: Washington, D.C. Responsibilities
Manage incoming phone calls, record messages, forward inquiries, and assist staff with follow-up communications.
- Schedule, coordinate, and provide administrative support for meetings, program reviews, interviews, and events.
- Draft, edit, and prepare timely responses to correspondence and taskers, ensuring compliance with DHS correspondence standards and deadlines.
- Maintain and update files, records, and databases, ensuring all documentation is properly organized and easily accessible (both electronic and hard copy).
- Utilize Microsoft Word, Excel, PowerPoint, SharePoint, and other tools to prepare reports, presentations, and program documentation.
- Support records management activities and ensure all documentation meets DHS retention and security standards.
- Perform data gathering, basic analysis, and forecasting to support internal reports and data calls.
- Coordinate with CWMD travel office and federal staff to prepare and process travel authorizations and vouchers.
- Liaise with the CWMD Security Office to manage clearance passages, foreign visitor requests, and related administrative processes.
- Assist with office supply management, procurement coordination, and vendor support as required.
- Support personnel management processes, including tracking performance evaluations, training records, and staff updates.
- Serve as liaison to the Facilities Division to coordinate office space, property management, and safety requirements.
- Sort, screen, and distribute incoming and outgoing mail, ensuring timely delivery and proper routing.
- Assist in organizing CWMD-sponsored meetings, special events, and seminars to support directorate operations
Qualifications
- Bachelor's degree or High School diploma with 5+ years of related administrative experience.
- Proven ability to support federal programs or executive offices in a fast-paced, mission-driven environment.
- Strong written and verbal communication skills with excellent attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint) and project management tools.
- Strong organizational skills and ability to manage multiple priorities simultaneously.
Preferred Qualifications:
- Prior experience supporting the Department of Homeland Security (DHS) or other federal agency.
- Experience with records management, data entry, and document control in compliance with federal standards.
- Familiarity with Concur travel systems and federal administrative processes.
