The Intake Fax Team provides essential administrative support across multiple lines of business, including Employee & Individual (E&I), Medicare & Retirement (M&R), and Community & State (CNS). Clinical Administrative Coordinators are responsible for reviewing incoming faxes containing clinical information to initiate Prior Authorization requests. This role demands strong customer service orientation, foundational clinical knowledge, and technical proficiency. Coordinators follow established protocols to ensure compliance with regulatory standards, particularly HIPAA. Operating in a high - volume, fast - paced environment, they are expected to maintain high levels of accuracy, quality, and timeliness to support the overall success of clinical operations.

This position is full time, Sunday - Saturday. Employees are required to have flexibility to work any of our shift schedules during our normal business hours of 6:00 am - 7:00 pm CST. It may be necessary, given the business need, to work weekends (shift diff of 10% for weekend schedule).

We offer 2 - 3 weeks of paid training plus 2 months ramp up period. The hours during training will be 8:00 am - 5:00 pm CST from Monday - Friday.

Primary Responsibilities:

  • Review and triage incoming faxes for dedicated lines of business
  • Verify HIPAA compliance and member eligibility
  • Determine Prior Authorization requirements based on procedure codes and benefit coverage
  • Enter clinical data into ICUE to initiate Prior Authorization requests
  • Navigate multiple clinical applications and SharePoint sites
  • Upload documents into DOC360 for secure storage
  • Perform non - clinical administrative tasks to support clinical teams
  • Respond to internal business partner escalations and inquiries via email
  • Process vendor emails for case creation and updates when automation is unavailable
  • Prioritize tasks to meet production metrics and support urgent workflows
  • Able to work independently with limited supervision as well as collaboratively in a team environment
  • Available to work any schedule during business hours (6:00 am - 7:00 pm CST), 7 days a week, supporting operational needs

Required Qualifications:

  • High School Diploma / GED
  • Must be 18 years of age OR older
  • 2+ years of experience in customer service within healthcare settings, resolving member inquiries and supporting clinical workflows
  • Hands - on experience in clinical environments, including processing prior authorizations and reviewing medical documentation
  • Familiarity with healthcare benefits across Commercial, Medicare, and Medicaid lines of business
  • Working knowledge of ICD - 9 and CPT codes, with ability to interpret and apply them to authorization requirements
  • Proficient in Microsoft Office Suite: Microsoft Word, Microsoft Excel, Microsoft Outlook, Microsoft SharePoint, and Microsoft Teams
  • Ability to create, edit, save, and manage documents using Microsoft Word and Microsoft Excel
  • Typing speed of 40+ WPM with high accuracy
  • Experience with applying healthcare policies and standards to ensure regulatory compliance, including HIPAA
  • Ability to manage sensitive clinical data and maintain documentation integrity
  • Verbal and written communication skills for internal and external correspondence
  • Ability to multi - task, prioritize, and meet production metrics in a fast - paced environment
  • Critical thinking and problem - solving skills in support of clinical operations
  • Ability to work any of our full time, shift schedules during our normal business hours of 6:00 am - 7:00 pm CST from Sunday - Saturday. It may be necessary, given the business need, to work weekends (shift diff of 10% for weekend schedule).

Preferred Qualifications:

  • Understanding of Medicare compliance and regulatory guidelines
  • Skilled in navigating healthcare platforms such as OCR, ICUE, and DOC360
  • Skilled in uploading and organizing documents in secure systems like DOC360

Telecommuting Requirements:

  • Ability to keep all company sensitive documents secure (if applicable)
  • Required to have a dedicated work area established that is separated from other living areas and provides information privacy
  • Must live in a location that can receive a UnitedHealth Group approved high-speed internet connection or leverage an existing high-speed internet service

Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The hourly pay for this role will range from $17.74 - $31.63 per hour based on full-time employment. We comply with all minimum wage laws as applicable.
