Position Summary:


The primary function of the Operations Trainee is to be responsible for learning all functional areas necessary to operate and manage a given branch. These functional areas will range from purchasing and inventory to basic accounting and billing, office administrative duties and general maintenance.



Duties & Responsibilities:



  • Responsible for assuring that there is a system in place that all staff members understand and to properly handle customer phone calls
  • Manage receptionist's schedule, assuring proper back-up personnel is available when necessary
  • Responsible for arranging the repairs and maintenance of all the fax and copier equipment
  • Maintaining the proper toner and paper for the fax and copier equipment
  • Responsible for a system that calls for both strategically installing fax machines where needed and also insuring that the correct person receives every fax in a timely fashion
  • Learn the customer invoicing process and oversee company adherence to such processes.
  • Responsible for training and managing appropriate personnel on the daily duties of mailing customer invoices.
  • Learn and enforce the CBSI policy of "Daily Management Review of Invoicing".
  • Responsible for reviewing the invoice register daily and keeping it up-to-date and clean of old items.
  • Keeping the "Branch Cash Account" clean of any invoices older than three days.
  • Understanding the payment process of all non-material bills such as utilities and general supplies.
  • Keeping an up-to-date file or log of all paid non material bills to be used for quick reference if needed.
  • Responsible for the cash drawer being closed out and balanced on a daily basis.
  • Responsible for the general appearance of the office, store, and bathroom areas being kept neat and clean. This includes the hiring and training of a cleaning service.
  • Responsible for overseeing the general repairs and maintenance of the office, store, and bathroom areas including the HVAC, plumbing, and electrical.



Basic Qualifications:



  • Associates Degree preferred
  • Minimum of 3 years of related work experience
  • Strong Microsoft office skills

Physical Requirements:



  • Must be able to remain in a stationary position in an office environment 70% of the time.
  • Will occasionally move about inside the office to access files, office machinery, etc.
  • Must be able to operate basic office machinery.
  • Must be able to communicate with team and management and be able to exchange accurate information in these situations.

  • Must be able to problem solve and prioritize tasks.
  • Must be able to manage stress depending on deadlines and ongoing projects.
  • Must be able to multitask.
