Job Description

The Department of Veterinary Medicine and Surgery is dedicated to developing and disseminating knowledge to improve the health and well-being of animals and people through instruction, innovative research, service, and leadership. The department is home to the college's Veterinary Health Center where our faculty provide clinical care, teach, and develop innovative treatments and therapies.

We are seeking candidates for an HR Specialist II position that will support academic HR functions within the Department of Veterinary Medicine and Surgery. This position will dually report to the Department Chair and the Assistant Director of Human Resources for the College of Veterinary Medicine and be embedded in the Department Chair's office. This position will primarily support academic HR functions and tasks within the department including supporting faculty recruitment, the promotion and tenure process, and hiring and onboarding for academic positions. In addition, this position will be the primary individual responsible for administering the Veterinary Internship and Resident Match Program (VIRMP) on behalf of the department.

This position is highly collaborative. Incumbents will work with others in the department chair's office, such as an Executive Assistant and a Program / Project Coordinator; other HR team members, such as HR Specialists who support the staff of the Veterinary Health Center and the college's HR Recruiter; and other department and colleges leaders, such as Associate Department Chairs, the VHC Hospital Director, and the college's Business Officer.

Primary responsibilities will include:

  • Veterinary Internship and Resident Match Program / VIRMP (national match program for veterinary medicine):
    • Enter and manage house officer openings within the VIRMP system on behalf of the department.
    • Manage letters and hiring process through PeopleSoft for selected candidates.
    • Coordinate house officer orientation and onboarding each year.
  • Academic Recruitment and Hiring Support
    • Execute job actions for academic positions, unpaid appointments, and graduate student appointments.
    • Provide support to the CVM HR Recruiter on faculty search efforts.
    • Coordinate onboarding activities for new faculty and academics.
    • Maintain position inventory, tracking appointments and funding for all academic positions in department.
  • General Academic HR Support
    • Draft and distribute merit increase letters and other letters to support job actions or employment changes on behalf of the Department Chair.
    • Track leave for academic employees, manage leave of absence forms and requests.
    • Perform exit interviews with academic employees.
    • Manage emeritus status requests.
    • Provide support to the department chair and faculty for Promotion and Tenure process.
    • Manage visa and permanent residency applications for academic employees, including coordinating with approved university partners and legal counsel on visa and immigration issues.
  • Departmental Office Support
    • Manage faculty credentialing and licensure, including Missouri Veterinary Medical Licensing as well as credentials with the DEA, USDA, and other governmental agencies.
    • Draft contracts for locum consultants, sponsored residency programs, and clinical affiliations with external partners.
    • Maintain department committee assignments.
    • Support of academic programs: course changes, course proposals, course instructor/TA list, support graduate student admissions and enrollment; course evaluations, sponsored billing, maintain websites.
    • Provide support to the Department Chair, including serving as back-up for the Chair's Executive Assistant.
    • Other duties as assigned.
Shift

This is a full-time, 40-hour per week position. The position will work standard business hours Monday through Friday.

Minimum Qualifications

An associate's degree or an equivalent combination of education and experience and at least 1 year of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

  • Prior experience in higher education, ideally human resources, is strongly preferred.
  • Organizational skills and a high attention to detail are required.
  • Must possess strong customer service skills and be able to work collegially with a variety of customers and constituents.
  • Need to able to successfully navigate a matrix reporting structure and environment.
  • Current credential or a willingness to obtain credential as a Notary Public in Missouri.
Anticipated Hiring Range

Salary Range: $22.00 - $25.00 per hour
