Position Highlights

The Events and Communications Coordinator supports the department's academic, educational, and outreach initiatives through a combination of program coordination, event management, and communications. This role is responsible for organizing the center's annual report, coordinating grand rounds, educational events, and managing communications and media presence. The position requires proactive planning, attention to detail, and the ability to collaborate effectively with faculty and leadership to meet strategic goals.

Duties & Responsibilities

Event Planning and Coordination:

  • Plan, coordinate, and execute all departmental events, including research symposia, visiting lectureships, retreats, and community outreach events.
  • Manage guest presenter logistics while collaborating with the Cardiology Fellowship Leaders on Grand Rounds planning.
  • Manage all event logistics, including venue booking, travel, meals/catering, registration, audiovisual setup, poster boards, photography, and post- event follow-up.
  • Anticipate needs and ensure seamless event execution through proactive planning.
  • Maintain event calendars, track budgets, oversee vendor relationships, and produce event materials as needed.

Marketing, Communications, & Digital Presence:

  • Develop and distribute event promotions, including invitations, flyers, digital newsletters, and social media content.
  • Manage departmental mailing lists, event communications, and participant engagement across digital platforms.
  • Take full responsibility for maintaining and updating the Sarver Heart Center website and faculty webpages, ensuring current, accurate, and professional representation of faculty profiles, publications, programs, and initiatives.
  • Enhance Sarver's online visibility and digital footprint through content updates, coordination with central communications teams, and creation of new digital content (e.g., news features, spotlight stories).
  • Ensure consistent branding and high-quality presentation across all digital and print communications using tools such as Microsoft Office, Trellis, and Adobe Creative Suite.

Educational Reporting & Annual Report Management :

  • Lead the development and production of the Sarver Heart Center Annual Report, including content planning, data collection, writing, editing, layout coordination, and publication.
  • Collaborate with faculty and leadership to gather and synthesize programmatic accomplishments, outcomes, and metrics.
  • Track educational and outreach program goals, activities, and milestones across the year to ensure accurate, timely reporting.
  • Maintain documentation, summaries, and content that demonstrate the impact of Sarver's academic and community mission.

Knowledge, Skills, and Abilities:

  • Experience in program coordination, event planning, and communications/media.
  • Experience interfacing with executive-level leadership.

Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
  • Three (3) years of relevant work experience, or equivalent combination of education and work experience is required.
Preferred Qualifications

  • Strong organizational and analytical skills with the ability to manage multiple priorities.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to proactively plan and anticipate needs.
  • Familiarity with scientific or research environments, including the ability to understand and apply academic or technical terminology.
