Position Summary The purpose of the Lead Central Scheduler ls to assist the Scheduling Manager in the daily operation of the central scheduling department. This position exists to ensure proper functioning of scheduled appointments is occurring, as well as providing tools, motivation and daily updates to all schedulers. The lead central scheduler contributes to the overall organization by providing strength and stability to the department when the manager is not available due to other organizational responsibilities and/or extended leave of absences. In lieu of the scheduling manager the Lead Scheduler will work as a clinical and administrative liaison between scheduling and clinical personnel within the Steward organization participating in meetings, conference calls, and webinars when necessary. Strong ability to act as a motivator and delegate tasks to scheduling staff as necessary while keeping the environment friendly and organized. Job Duties and Responsibilities
- Assist the Manager of Scheduling with clinical review of quality of scheduled appointments
- Works as clinical and administrative liaison between scheduling and clinical personnel within the Steward organization
- Schedules tests accurately, providing patients and physician offices with appropriate patient instructions for preps, registration/pre-registration, parking, and when/where to report,
- Act as a motivator and delegate tasks to scheduling staff as necessary.
- Maintain a friendly and organized departmental environment.
- Intermediate knowledge and usage of Microsoft programs such as Work, Excel, and Power Point and Outlook.
- Ability to properly format emails and Microsoft documents for distribution to staff and other administrators.
- Provide training for new employees, as well as ongoing training both departmental and individual.
- Expert usage of Meditech to properly book appointments, block schedules, document reasons of blockage, add/remove dates, times, and appointment types from department schedules as requested; along with the ability to edit dictionary resource schedules for long term changes/manipulations per departmental requests.
- Excellent usage of outlook email to provide secure emails to patients when necessary and when responding to departments and/or administration,
- Holds all staff responsible for department and hospital regulations, policies and procedures, which includes disciplinary actions when and if necessary in accordance with SEIU and Human Resources policies and procedures.
- Ensure coverage is maintained for all shifts from 8am - 6pm when vacations and sick calls are present.
- Able to approve/deny vacations based on SEUJ policies and procedures
- Able to follow-up with patients who fail Medical Necessity insurance requirements and require an Advanced Beneficiary
Notice.
- Able to manage and delegate all three eClinical Works databases
- Able to properly use F: Drive in accordance with the Standard Operating Procedures.
- Assists manager in reviewing all clinical issues.
- Assists manager and lead scheduler in the education of scheduling policies and procedures to hospital personnel, doctors' offices, staff and patients..
- Completes daily tasks, as assigned by manager
- Verifies and documents all required scheduling data elements received from physician offices, hospital departments, nursing homes, patients or other customers of central scheduling.
- Verifies accuracy of tests scheduled with diagnosis
- Responsible for checking Medical Necessity requirements, when necessary, as well as informing customers of prior authorization requirements,
Ensures nursing home patients are accompanied by aid or assistant for an tests and communicates with Health Care Proxy ,when necessary. * Properly utilized Interpreter Service Hub for necessary patients, along with proper Meditech documentation in scheduled account when these services will be necessary for appointment.
- Promotes a relaxing and positive customer service atmosphere.
- Answers all incoming calls in a timely manner and is responsible to answer questions and/or route calls to appropriate destination ensuring calls are not blindly transferred.
- Promotes and maintains cooperative interaction with Admitting staff, physicians, nurses, other hospital departments and outside contacts.
- Responsible to keep11p with changes in departmental hospital regulations, policies, and procedures.

- Follows all hospital policies and procedures
- Punches in/out using Kronos and designated punch clocks set forth by manager.
- Constantly responds to changes in work schedules as necessary, making the best use of time during assigned shifts.
- Performs well in emergency/urgent situations
- Always shows respect for patient privacy by following established patient confidentiality protocols.
- Maintains cleanliness, sanitation, and orderliness of working area
- Maintains proper professional demeanor to patients, professional staff, and co-workers.

- Ensures that all job requirements are met daily.
- Reviews physician orders to ensure all scheduling elements are documented and appropriate test is scheduled for diagnosis.

Education and Experience I. Education: High School Diploma or equivalent (College Preferred) Il. Experience (Type & Length): At least 2 years of scheduling experience preferred Compensation Range: $21.73- $32.30
