The Chief of Staff supports the COO by driving coordination, information flow, and execution across the COO's portfolio. This role ensures leadership alignment, supports the COO's operational rhythm in close collaboration with the Operational Excellence team, manages executive preparation, and helps streamline cross-functional collaboration. The Chief of Staff plays a critical role in organizing priorities, preparing materials for leadership forums, tracking follow-ups, and ensuring that actions and decisions move forward efficiently across the enterprise. This position is ideal for a highly organized, detail-driven, and proactive professional who excels at enabling senior leaders, connecting people and processes, and maintaining strong communication across complex organizations. Primary Accountabilities: Executive Coordination & COO Office Operations
Support the COO's operational rhythm, including all logistics and communication for executive and senior leadership meetings, quarterly updates, cross-functional check-ins, and annual strategy meetings.
- Coordinate scheduling, agendas, materials, and follow-up actions for meetings led by or involving the COO.
- Manage executive briefing documents, talking points, and pre-reads to ensure leaders are well-prepared for internal and external engagements.
- Partner with the Operational Excellence team to align meeting cadences, metrics, and workflows with enterprise rhythm-of-business standards.
- Coordinate travel, expenses, logistics, and administrative operations for the COO as needed.
- Serve as an integrator across teams that interface with the COO to support alignment, clarify expectations, and accelerate progress.
- Facilitate the flow of templates, guidelines, updates, and requests from the COO's Office to leadership teams.
Leadership Alignment & Information Flow
- Ensure the right leaders are engaged with the right information at the right time through proactive coordination and structured communication channels.
- Track key decisions, commitments, and strategic conversations; ensure visibility into next steps and accountability for follow-through.
- Maintain an integrated view of priorities across the COO's functional areas, surfacing issues, risks, or gaps.
Project Management & Follow Through
- Support COO-sponsored initiatives by coordinating milestones, timelines, and communication.
- Document and track progress against action items assigned by the COO, ensuring timely updates from stakeholders.
- Conduct research, prepare summaries, and develop draft communications to support the COO's priorities.
Communication & Executive Preparation
- Prepare content for executive forums, town halls, leadership meetings, and internal updates.
- Draft internal communications, memos, and briefing materials reinforcing the COO's priorities and messaging.
- Maintain a shared repository of templates, dashboards, and leadership resources used across the COO's Office.
What you will need to be successful:
- Bachelor's degree required; Master's preferred.
- 5-7 years' experience supporting senior leaders or coordinating operations, logistics, or project management in a complex environment.
- Exceptional organizational skills and attention to detail.
- Strong executive communication and writing skills.
- Proven ability to coordinate across multiple functions with discretion and judgment.
- Experience managing large-scale logistics, event coordination, or staff operations strongly preferred (ideally in a global or conference environment).
- Ability to work under tight deadlines and adjust quickly to shifting priorities.
