Summary:

The Student Medical Education Coordinator will assist the Director of Student Medical Education (DSME) with the coordination of departmental services encompassing the student training programs. This includes administrative support, marketing, recruiting, orienting new trainees, and ensuring compliance with institutional policies and procedures. Under the direction of the Medical Affairs Manager at UNC Health Nash/DSME, the Student Medical Education Coordinator will develop and maintain all rotation schedules and calendars per specialty-specific curricula as well as monitor and analyze evaluation data. The incumbent will maintain all departmental personnel files of trainees.

Responsibilities:

1. Ensure compliance with the AOA Basic Documents;

2. Act as the initial point of contact for students.

3. Coordinate all medical student training programs at the base institution.

4. Organize high quality educational programs at the base institution;

5. Manage all applicable documents and correspondence related to student training;

6. Coordinate administrative support functions for monthly (student) rotation scheduling both internally and externally.

7. Ensure the compilation and distribution of the monthly student schedule, which includes on-call, rotation schedule, didactic, and conference calendars.

8. Ensure student compliance with required immunizations.

9. Ensure the completion of all evaluations and requirements of the student rotations;

10. Monitor and analyze evaluation submission on a monthly, quarterly, and annual basis.

11. File evaluations and log documents as required.

12. Prepare monthly, quarterly, and annual tracking reports, as requested.

13. Assist with documentation preparation and management for compliance with accrediting and regulatory agencies.

14. Coordinate student recruitment efforts of the department under the direction and supervision of the Medical Affairs Manager at UNC Health Nash/DSME.

15. Maintain all student personnel files and ensure confidentiality of sensitive information.

16. Prepare medical student orientation files and attend weekly orientation program.

17. Support orientation planning and preparation, including beeper assignments, identification badge facilitation, and parking assignments.

18. Support the clinical faculty preceptors and the CUSOM Student Medical Education Coordinators with coordination of student rotation schedules.

19. Participate, as needed, in hospital and department committees.

20. Maintain basic accounting of student meal allowance, if applicable.

21. Maintain record of student attendance at educational conferences and leaves of absence from program.

22. Assist with proper and efficient functioning of departmental office atmosphere; orders/maintains/inventories office supplies; coordinate delivery and sending of daily mail (as applicable); coordinate student meetings and arrange for meeting rooms.

23. Actively work to increase and advance knowledge base; utilize time management strategies to perform and complete duties; demonstrate compliance with institutional policies and standards, as well as those set forth by the hospital's accrediting organizations; participate as needed and/or required in educational classes, training, or techniques.
