The Opportunity:

The College of Nursing, at the Dr. Phillips Nursing Pavilion on UCF's Academic Health Sciences Campus in Lake Nona, is currently accepting applications for an Administrative Assistant II. This position is responsible for performing administrative duties that support everyday office functions for the faculty and staff for the College of Nursing. The role manages office operations, including greeting visitors, answering phones, coordinating mail, maintaining supplies, and managing records. The position also handles mail, supports onboarding/offboarding, assists with emergency operations, and serves as the primary customer service and welcome liaison.

Responsibilities:


  • Facilities management.

  • Creates work orders for building maintenance issues.

  • Serves as a liaison between the College of Nursing and Facilities Operations, AHSC, and Asset Control.

  • Manages the asset surplus process for office equipment, furniture, and other items as needed.

  • Supports Operations Team to assist with emergency operations including fire drills, AED usage, etc.

  • Serves as liaison with campus security team.

  • Coordinates document disposition and manage files and records.

  • Opens College offices and rooms for daily use.

  • Responsible for handling front office reception and administrative duties, including greeting visitors/students and answering phone calls.

  • Coordinates vehicle maintenance and usage, parking permits, and schedule.

  • Coordinates, tracks, and requests office equipment maintenance and repairs.

  • Manages orders for the UCF Print Shop and UCF Parking Services.

  • Coordinates incoming and outgoing mail and shipping including deliveries to the main campus.

  • Maintains supply inventory and order office supplies.

  • Ensures all common areas have approved and current signage and postings.

  • Manages meeting room reservations in the Nursing Facilities calendar.

  • Manages classrooms supplies and checks for cleanliness.

  • Assists with onboarding and offboarding of personnel by coordinating office setup, ordering name badges, building access cards, office keys, business cards, nameplates, etc.

  • Other duties as assigned.


Minimum Qualifications:

High School Diploma or Equivalent and 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).

Preferred Qualifications:


  • 4+ years of administrative support experience in higher education or building operations.

  • Experience coordinating projects and tasks, including tracking progress, managing timelines, and communicating with multiple stakeholders to ensure completion.

  • Experience in a customer service-oriented role with the ability to interact professionally and provide courteous responses to inquiries from partners and external stakeholders.

  • Expertise in Microsoft Office Suite (Word, Excel, PowerPoint) for data management, reporting, and correspondence.


The most successful candidates may possess the following qualities:


  • Ability to manage multiple responsibilities, prioritize tasks effectively, and maintain accuracy in a fast-paced environment.

  • Demonstrated ability to build and maintain positive relationships with faculty, staff, students, vendors, and external community partners.

Special Instructions to the Applicants:

The anticipated hourly rate for a well-qualified candidate is between $17.64 - $21.61. The final hourly rate will be determined based on the candidate's qualifications, experience, and internal equity considerations.
