Position Title: Human Resources and Office Coordinator
Position Classification: Regular, full-time, nonexempt, hourly (40 hours/week)
Reports to: Human Resources Director
Location: Boston, Massachusetts; At least 3-4 days per week onsite at our Boston office from 9 am-5 pm (generally Tues-Thurs, with occasional variation based on organizational need); Remaining days can be either in-office or remote.
Position Overview:
The Human Resources (HR) and Office Coordinator is a key member of the team that delivers HR services to Partners In Health (PIH) U.S.-based employees as well as supports the administrative functions of the PIH Boston office. The Coordinator has primary responsibility for implementing core HR processes, serving as a primary liaison to vendor partners, and will be responsible for other HR projects as needed.
This role will also support the administration and operationalneeds of the Boston office to ensure organizational effectiveness, efficiency, and safety. This role presents an opportunityto workona collaborative team, interface with PIH employees around the world,and developand enhancea wide variety of skills in service to a global organization that is relentlessly committed to improving the health of the poor and marginalized.
Responsibilities:
HR support: (60%)
  • Manageonboarding and offboarding processes, process documentation for PIH staff (including role changes, reclassifications, progressions and promotions, etc.),andleadnew hire orientation, including Passport Orientation sessions.
  • CommunicateHR programs and policies toU.S.-basedemployees and managersandPIH'sU.S.expatriatepopulation; serve as a knowledgeable resource to staffand partnersand providetimelyandproactive support to address staff questions, including managing our HRHelp inbox, regular all-staff bulletin, etc.
  • Manage department scheduling and support the team in planning and logistics related to staff meetings and convenings.
  • Coordinate administrative tasks related to international and temporary assignments as needed
  • Lead andparticipatein HR and cross-team projects as needed, including conducting research, preparing documents, managingeventlogistics,and tracking deliverables.
Office Management support (40%)
  • Work collaboratively with supply chain, IT, and Development departments tooversee procedures formanagement and distribution ofincoming and outgoingsupplies,mail,and packages.
  • Manage organizational relationships with vendors who provide services to the office, including building management, office cleaners, and office suppliers, among others.
  • Provide onsite support for meetings and convenings during business hours for all departments based on organizational need.
  • Serve as the primary contact for all stakeholders - internal and external - who interface with the office space, including management of building access via online system. Be present in PIH's Boston office 3 days per week, 9 am - 5 pm (generally Tues-Thurs, with varying schedule depending on organizational need); remaining days can be remote or in office as preferred.
Qualifications:
  • Bachelor's degree,and1-2years of relevant experiencerequired; or 2-3 years relevant experience, working in human resources and office coordination preferred.
  • Exceptional organizational and analytical skills.
  • Strong customer service orientation, with a proactive and helpful mindset.
  • Highproficiencyin working withinformation andtechnology systems.
  • Good problem-solving and decision-making skills.
  • Exemplary interpersonal skills; ability to collaborate effectively with culturally diverse staffacross departments and countries.
  • Proficiencyin French, Haitian Kreyol,or Spanish is a plus.
  • Interest in social justiceis stronglydesirable.

Pay and Benefits:
The starting salary for this position is $47,380 and is non-negotiable.
