The Operations Support Specialist plays a vital role in supporting the daily functions of the Building Services Business. This position is responsible for a variety of tasks that ensure administrative and logistical needs are met efficiently and effectively, contributing to overall operational smoothness and technician readiness.

  • Dispatching Assistance: Assist with daily dispatching activities, which may include taking customer calls, updating job statuses in the system, and communicating with technicians regarding schedule adjustments or job details
  • System & Process Improvement: Assist with the implementation, data entry, and ongoing support for new service and maintenance software or operational systems, including user support as needed
  • Logistical Coordination: Process incoming and outgoing parts orders, ensuring accurate record-keeping and communication with suppliers
  • Safety & Compliance Support: Support the service department in maintaining digital records and documentation related to safety compliance and assist in maintaining organized digital files for department operations
  • Administrative & Reporting Support


Qualifications

  • High School Diploma or GED equivalent required
  • Experience in an administrative, coordination, or office support role preferred
  • Previous mechanical service or construction industry experience preferred
  • Strong organizational skills and exceptional attention to detail
  • Ability to follow instructions accurately, prioritize tasks, and work independently with minimal supervision
  • Excellent verbal and written communication skills and a positive, helpful attitude
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
  • Ability to handle confidential information with discretion



Authorization to work in the United States indefinitely without restriction or sponsorship. Position is full-time Monday - Friday and is not a remote work position.
