Position Summary

The Human Resource Coordinator provides administrative and operational support to the Human Resources department and serves as a key point of contact for employees and applicants. This role supports a wide range of HR functions, including recruitment, onboarding, employee records management, benefits administration, and compliance with applicable laws and organizational policies. The ideal candidate is detail-oriented, customer-service focused, and able to handle sensitive information with discretion.

Key Responsibilities

  • Assist with a variety of administrative and clerical tasks in support of Human Resources operations.
  • Support pre-employment processes, including coordinating and administering pre-employment testing and screenings for both staff and faculty.
  • Compile, prepare, and maintain accurate and confidential employment and personnel records, including Gold files.
  • Provide administrative support for HR-related projects and programs.
  • You must understand the work permits and visas required for the employee's specific role and nationality.
  • Maintain and update Human Resources vendor lists.
  • Track, process, and reconcile HR-related invoices and assist with payment coordination.
  • Support the planning, coordination, and execution of organizational events.
  • Assist with the development and delivery of training programs by coordinating schedules, preparing materials, and tracking participation.
  • Support compliance with applicable policies, procedures, and employment regulations.
  • Perform other related duties as assigned.

Required Qualifications

  • Related undergraduate study, or equivalent combination of education and experience.
  • One year of administrative or human resources support experience.
  • Knowledge of basic HR principles, practices, and employment laws.
  • Strong organizational skills and attention to detail.
  • Ability to handle confidential information with professionalism and discretion.
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and HR information systems.
  • Excellent written and verbal communication skills.

Preferred Qualifications

  • Bachelor's degree in Human Resources, Business Administration, or a related field.
  • Experience working in an HRIS and applicant tracking system (ATS).
  • Experience in a higher education, healthcare, or public sector environment.

The hourly rate range for this position is $28.18 - $30.00. When extending an offer of employment, the University of Southern California considers factors such as (but not limited to) the scope and responsibilities of the position, the candidate's work experience, education/training, key skills, internal peer equity, federal, state, and local laws, contractual stipulations, grant funding, as well as external market and organizational considerations.
