Who You Are...

As Purchasing Specialist, you will be responsible for ensuring operational continuity by accurately creating and maintaining purchase orders (POs), acting as the primary point of contact for invoice exception management, and ensuring tax compliance through the preparation and distribution of tax certificates.

This Position...

Some examples of the work you might do includes:



  • Creates, reviews, updates, and maintains purchase orders (POs) in applicable systems to support project tracking and financial oversight. Applies working knowledge of sales and use tax rules to ensure accurate PO coding and facilitate timely and accurate invoice processing.
  • Manages incoming invoices exceptions which includes updating missing or incorrect information, review of accounting and phase codes, and correcting any synch errors with the company's ERP system.
  • Prepares, reviews, and distributes tax-exempt certificates to vendors based on exemption type, ensuring compliance with all applicable local and state regulatory requirements.
  • Processes sales tax corrections identified during internal audit. Follows up with vendors to communicate invoice errors and ensure accurate tax treatment.
  • Monitors the invoice grid to ensure invoices are ready for approval, address rejections from assigned approvers, and correct posting errors to support timely processing.


What You Need...



  • Bachelor's Degree in Business, Finance, Accounting, or a related field, OR 2+ years of relevant, job-related experience in a service or construction industry (without a degree).
  • Strong attention to detail and accuracy in data entry.
  • Proficiency with Microsoft Office products (Excel and Word in particular).
  • Must be organized, attentive to detail, and possess strong analytical skills.
  • Ability to effectively communicate (both written and verbally) with diverse audiences.
  • Adept at juggling multiple responsibilities without compromising quality or timelines.
  • Foundational knowledge of accounting principles and practices.
  • Ability to travel up to 5% of the time.


Preferred Qualifications:



  • Familiarity with Viewpoint accounting software.

Work Environment:



  • This position operates primarily in a professional office environment, and routinely utilizes standard office equipment, such as computers, phones, copiers, filing cabinets, and printers.


Physical Demands:



  • In performing the duties of this job, the incumbent is regularly required to sit, stand, walk, talk, hear, perform repetitive motion, and possess an appropriate degree of both visual acuity and manual dexterity.
  • This is considered a sedentary position, which means possible exertion up to ten (10) pounds of force occasionally, and/or negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects..
