Job Summary

Manages and reconciles financial and budgetary operations for the College of Arts, Sciences & Education (CASE), including oversight of startup funds, subsidiary ledgers, and payroll accuracy. Serves as a primary procurement card approver, ensuring compliance with University and State regulations while monitoring transactions, encumbrances, and disputed charges. Provides financial support to the CASE Dean's Office by assisting with procurement processes, contract management, inter-departmental transfers, and departmental inquiries. Collaborates closely with faculty and administrative leadership to resolve discrepancies, process adjustments, and ensure accurate, timely financial reporting.

  • Manages the Start Up ledger for the College of Arts, Sciences & Education (CASE). Communicates with Faculties, responds to faculties queries, and processes necessary adjustments.
  • Reconciles monthly State Controller ledgers to the College subsidiary ledgers to assure that discrepancies are corrected and the necessary adjustments are made to department budget.
  • Updates other CASE subsidiary ledgers for recruitment, faculty travel and other miscellaneous allocations.
  • Reviews payroll reports for accuracy and completion. Processes necessary adjustments and transfers.
  • Serves as primary procurement card approver for the College's Dean's Office, Faculties with active start up accounts, and other cardholders as needed. This includes auditing transactions to ensure they are in compliance with University and State guidelines.
  • Monitors purchasing card transactions to ensure transactions are approved for payment within the established guidelines. Tracks disputed transactions to ensure that credit is received.
  • Reviews encumbrances to ensure that they are paid in a timely basis.
  • Reviews telephone statements generated by UTS billing systems for accuracy.
  • Assists the Dean's Office with procurement processes as needed. Including Contract Manager role in TCM (Total Contract Management system).
  • Coordinates and assists the Associate Director in the creation and execution of inter-departmental transfers and deposits.


Minimum Qualifications

Bachelor's degree in a related field and one (1) years of relevant experience.
