Job Announcement

Supervises and directs the daily work of administrative staff supporting the Business Processing and Information (BPI) section of the Personal Property Division. Oversees the business phone queues and all incoming correspondence and ensures timely handling, resolution and follow-up. Interprets and trains staff on state code, county code, and guidelines for business license, personal property, and miscellaneous tax assessments. Implements and enforces division policies and procedures relating to the processing of business licenses, business personal property, and miscellaneous taxes. Reviews financial records of businesses to verify and enforce the accuracy of business tax assessments. Ensures compliance with critical processing and billing deadlines to avoid potential processing delays. Responsible for various projects and reports to include business form design and ordering, business license validation report and billing registry. Completes employee evaluations, time and attendance reports, and other personnel related matters. Perform other duties as assigned by section manager or agency management.

Work hours are Monday through Friday, 8:00 a.m. to 4:30 p.m. This schedule is fixed, and flexible hours are not available.

Note: The assigned functional areas of the position include general administrative support, local business tax research, customer service, document review and/or data entry.

Knowledge of county policies within functional area of responsibility. This may include knowledge of an outside institution, dissimilar operational unit within the county or the basic principles and methods of a professional field.

Knowledge and sensitivity to issues, priorities, protocol, etc.
Math Skills
Basic math skills.
PC Skills
Intermediate skills in the use of applicable Microsoft Office Suite software;
Intermediate skills in the use of agency specific software applications.

Ability to communicate well through written and oral means;
Ability to speak in front of a group.
Information Abilities
Ability to gather, integrate, and analyze complex data.
Interpersonal Abilities
Ability to establish and maintain effective working relationships with both external and internal contacts.
Personnel and Payroll
Ability to perform all human Capital Management Enterprise Resource Planning system functions.


Employment Standards

MINIMUM QUALIFICATIONS:
Any combination of education, experience and training equivalent to high school graduation and four years of experience providing administrative support in the assigned functional area(s).

NECESSARY SPECIAL REQUIREMENTS:
The appointee to this position will be required to complete a criminal background check and a credit check to the satisfaction of the employer.

PREFERRED QUALIFICATIONS:

  • At least two years of administrative experience in at least one of the functional areas.
  • At least two years of experience providing administrative assistance in an office environment.
  • At least two years of supervisory experience.
  • At least two years of front-line customer service, which includes responding to internal and external customer inquiries face-to-face, by telephone, and in writing.
  • One or more years of experience working with Business Personal Property and BPOL tax systems.
  • One or more years of experience reading and understanding accounting and tax records.
  • Excellent customer service skills with ability to communicate clearly and concisely, both orally and in writing.
  • Excellent interpersonal skills, with the ability to exercise tact and courtesy when interacting with citizens and handling confidential information.
  • Intermediate proficiency using Microsoft Office Suite applications, including Word and Excel.

PHYSICAL REQUIREMENTS:
Work is generally sedentary; however, visual activity is required to read on computer monitor and be able to operate keyboard driven equipment. Must communicate with others. Ability to lift up to 15 lbs. All duties performed with or without reasonable accommodations.

SELECTION PROCEDURE:
Panel interview and may include exercise.
