Description
The Rental Operations Specialist assists with the effective management of the Machine Division rental fleet. The role works in partnership with sales and rental coordinators, new inventory staff, and the sales team to successfully meet customer needs for rental. The incumbent in this position is expected to model the following practices daily: 1) Demonstrate alignment with the company's mission and core business values; 2) Collaborate with key internal/external resources; 3) Participate in ongoing self-development. Essential Functions:
- Hires, develops, evaluates, and influences effective and consistent productivity and teamwork to ensure the delivery of Legendary Customer Service (LCS)
- Models, promotes, reinforces, and rewards the consistent use of HOLT's Values Based Leadership (VBL) tools, models, and processes to ensure alignment with our Vision, Values, and Mission
- Assists in managing rental fleet inventory within appropriate accounts in alignment with performance metrics and strategic goals
- Approves and administers rental fleet machine and work tool roll in requests and extended rental fleet reservations
- Maintains machine data integrity including model, category groups and inventory updates
- Approves and administers Re-rent vendor equipment and payments via purchase orders and invoicing
- Works with Accounting Managers in processing monthly PO's, invoices, and other reconciling items
- Maintains Rental Fleet Category Groups, Rental Rate Guide and Customer specific rates and preferences
- Executes the administration of Over The Road vehicle processes
- Calculates and processes revenue recognition on No Charge units (Product Health and internal Loaners and Demo units)
- Ensures correct calculations and timely reporting of earned commissions
- Assists the sales team with rental credits on units that are no longer in inventory
- Maintains CAT Rental Store application user set-up and responds timely to customer requests
- Manages the customer Certificate of Insurance process while working closely with 3rd party administrator and sales team
- Coordinates with internal teams to ensure fleet readiness and timely delivery
- Assists with training, development, and evaluation of rental sales staff
- Supports onboarding, administration and training for various software programs including Integrated Rentals, Monday boards, and DBS
- Creates and maintain reporting, data, and functionality within rental software
- Works safely at all times and adheres to all applicable safety policies; complies with all company policies, procedures, and standards
- Performs other duties as assigned
Knowledge, Skills, and Abilities:
- Knowledge and experience with construction equipment, work tools, and applications
- Understanding of dealership operations and financial impacts
- Strong verbal, written, communication and presentation skills
- Proficiency with Microsoft Office Suite
- Proficiency with current computer software and ability to learn new systems and software
- Strong customer service and conflict-resolution abilities
- Effective time management and organizational skills
- Problem-solving and solution implementation skills
- Ability to prepare reports, assist with budgets, and maintain records
- Strong cross-department collaboration skills
- Ability to work on multiple projects and interact effectively with employees and management
Education and Experience:
- High school diploma or equivalent required; Bachelor's degree preferred
- Minimum of three years of relevant experience in rental, operations, or equipment-related roles required
Supervisory Responsibilities: Responsibilities include, but are not limited to interviewing, hiring, and training employees; providing input for performance evaluations, coaching and development; rewarding and disciplining employees; and addressing complaints and resolving problems in coordination with management. Travel:
- Up to 20% regional travel, including occasional overnight trips
- Valid driver's license required
Physical Requirements:
- This position involved extended periods standing, sitting, and walking
- Constant movement and use of limbs; this position requires good manual dexterity, coordination, and stamina
- Ascends/descends with gradual or continuous progress by oneself, using both hands and feet and climbs up and down ladders and/or equipment
- Be able to maneuver safely and work underneath equipment
- Routinely reacts to visual, auditory, and other signals, including alarms and instructions, and is required to visually inspect work
- Frequently moves materials or equipment weighing up to 25 pounds
- This role frequently communicates with others, must be able to exchange accurate information in these situations
Work Environment:
- This job is generally performed in a professional office, in environmentally controlled conditions
- Occasionally works outdoors; May be exposed to weather extremes when working outside in conditions that include inclement weather, heat, cold, and humidity
- Requires wearing common protective or safety equipment when working outside and/or in shop environments
- Frequently works at fast pace with unscheduled interruptions
