Job Description:
- The Human Services Program Coordinator provides coordination and programmatic support for agency-wide initiatives through detailed research, analysis, planning, and evaluation. The position independently manages mid-term projects involving program development, grant administration, policy analysis, and assessment of service delivery impacts resulting from regulatory or legislative changes.
- This role supports the implementation of public health programs by enabling data-driven decision-making and ensuring alignment between strategic planning efforts and agency goals. The position functions in a staff-support capacity, focusing on program activities with agency-wide significance. Work is performed independently in accordance with an approved work plan.
Role and Responsibilities:
Program Coordination:
- Support the development, research, planning, and implementation of program activities and initiatives.
- Collect, analyze, and maintain accurate program data and documentation; prepare related reports.
- Provide timely and reliable information on program activities and public health issues.
- Evaluate the effectiveness of policies and procedures; recommend improvements.
- Maintain current knowledge of relevant regulations and legislation; communicate program impacts.
- Identify issues, needs, or trends to support system planning and development; report findings.
- Ensure timely follow-up and completion of program and project tasks.
- Assist with creating and maintaining policies, procedures, and operational processes.
Technical Support & Quality Control:
- Provide accurate guidance, information, and technical assistance to staff, leadership, councils, workgroups, and other stakeholders.
- Respond to information requests and deliver specialized technical support.
- Develop user-friendly educational materials and stakeholder resources.
- Create, implement, and monitor quality assurance procedures; recommend and ensure compliance with improvements.
- Prepare and deliver presentations to internal audiences and the public.
- Conduct training, offer subject-matter expertise, and assess training needs to support program effectiveness.
Program Evaluation & Budget Monitoring:
- Review program goals, outcomes, and stakeholder needs to evaluate effectiveness; recommend adjustments.
- Track, document, and report all grant-related activities and performance outcomes.
- Monitor budget expenditures and verify assets purchased with grant funding.
- Assist in preparing grant applications and progress reports.
- Support the planning, development, and monitoring of regional contracts; ensure compliance with procurement regulations and service expectations.
- Participate in required meetings, committees, task forces, or workgroups.
Performance Management (If Applicable) - Marginal:
- Perform supervisory duties, including managing employee performance.
- Assign and prioritize tasks in coordination with program leadership and Human Resources.
- Ensure staff receive necessary training and maintain a safe work environment; complete performance evaluations as required.
Role and Responsibilities:
- Answer telephone inquiries and respond to voicemail messages requesting support for the ACE Division programs.
- Run monthly Certificate Report in Portal to use with NREMT reconciliation.
- Assist with Reciprocity, Legal Recognition and Challenge applications
- Complete Certification Verification Forms for providers relocating to other states
- Process Course Approvals and CE requests.
- Assist with Portal account issues i.e. password resets, inability to update CE's, etc.
- Assist with scheduling statewide Accreditation visits and represent OEMS at the statewide visits as needed or required.
- Gain additional knowledge of ACE division policies and procedures to allow continued assignment of responsibilities
Knowledge, Skills, and Abilities:
- Strong knowledge of program planning, research, evaluation, and quality assurance methods.
- Experience providing technical assistance for program development and analysis.
- Proficiency in data collection, research, analysis, and dissemination.
- Ability to interpret and apply data reporting requirements.
- Experience leading complex research or analysis projects.
- Ability to manage electronic data, prepare reports, and develop effective data visualizations.
- Strong verbal and written communication skills to support collaboration and clearly convey information.

- The employee may be required to perform additional duties as assigned, including supporting the agency during emergency declarations. Work hours, location, and responsibilities may shift based on public health needs. Mobile work may involve field assignments and telework. Occasional in - office presence may be required for meetings, training, or other operational needs.
