Summary of Job Duties:The Postdoctoral Program Coordinator will support the Associate Vice Chancellor for Research in the development, implementation, and evaluation of high-quality professional development and training programs for postdoctoral fellows at UAMS. This position is responsible for independently managing the operational, communications, and logistical components of postdoctoral programming.

The Program Coordinator will oversee program planning, digital communications, website management, promotional material development, and event execution for the Office of Postdoctoral Affairs. The role requires strong organizational skills, technical proficiency, strategic communication ability, and the capacity to manage multiple concurrent initiatives with minimal supervision.

This position requires a highly motivated, detail-oriented self-starter who delivers exceptional customer service and demonstrates excellent written, verbal, and interpersonal communication skills. The Program Manager must exercise sound judgment, maintain confidentiality, and demonstrate cultural sensitivity in working with a diverse postdoctoral community. Occasional evening and weekend work is required. Qualifications:
  • Bachelor's degree in business, science, education, communications, public administration or related field
  • Plus 3 year's experience in business or education
  • Experience with Microsoft Office Suite Applications, experience with website content management systems and graphic tools
  • Strong written and verbal communication skills
  • Ability to manage multiple projects independently

Additional Information:

KEY RESPONSIBILITIES:
35% Program Operations & Administration
- Manage calendar planning, scheduling, invitations, and space reservations for at minimum 2-3 monthly programs and events
- Coordinate event logistics including catering, audiovisual setup, materials preparation, room setup and breakdown
- Track attendance, maintain program records, and manage participant data
- Develop and maintain standard operating procedures for programming
- Manage program budget for events and future events, in coordination with annual operations budget set up for the program
25% Communications & Digital Engagement
- Manage and update the Office of Postdoctoral Affairs website (WordPress or equivalent CMS)
- Develop and distribute newsletters, email campaigns, and targeted communications
- Design promotional materials (flyers, graphics, digital assets) using Canva or other design platforms
- Maintain consistent branding and messaging across platforms
- Serve as primary communications liaison to postdoctoral fellows
25% Program Development & Evaluation
- Conduct needs assessments and research best practices in postdoctoral professional development
- Design instructional materials (presentations, handouts, surveys, assessments)
- Collect and analyze program evaluation data to inform strategic planning
- Assist in reporting outcomes to leadership
10% Engagement
- Engaging and educating the institutional community and postdoctoral fellows about Post-Doc Academy
- Traveling to training workshops, conferences, meetings and/or professional associations events outside of UAMS as needed.
- Actively participate in Research-related committees, providing service to the Division as required.
5% Performs other duties as assigned
