Provides high-level administrative support to the Children, Youth and Families (CYF) Division, managing and overseeing administrative support functions and staff for Protection and Preservation Services (PPS) and Child Protective Services (CPS). Serves as the lead administrative assistant and supervisor of administrative staff assigned to the program area, performing complex administrative functions in support of PPS and CPS operations. Supervises and coordinates the work of administrative assistants in collaboration with unit supervisors; planning, managing, and improving administrative support functions, including workflow, staffing coverage, and office operations; and conducting special projects such as research, data collection, and preparation of reports, presentations, and correspondence. Develops and maintains systems for recordkeeping and program data collection; reviews, develops, and modifies administrative policies, procedures, and methods to improve efficiency and effectiveness; manages administrative processes and coordinates activities with other CYF programs; and oversees office equipment, supplies, and related resources. Additionally, this role serves as the primary administrative assistant to the program manager, provides assistance with the procurement card (p-card) program, and acts as the CYF communication bridge between the drug and alcohol testing vendor and DFS staff, ensuring timely and accurate exchange of information for client testing and screening, including sending, receiving, and tracking related communications and documentation. Duties are performed under the general supervision of the Administrative Manager. The position is based at the Pennino Building with travel to other DFS regional offices as needed.

MINIMUM QUALIFICATIONS: Any combination of education, experience, and training equivalent to the following: (Click on the aforementioned link to learn how Fairfax County interprets equivalencies for "Any combination, experience, and training equivalent to") High school graduation and three years of experience providing administrative support in the assigned functional area(s).
CERTIFICATES AND LICENSES REQUIRED: Valid driver's license.
NECESSARY SPECIAL REQUIREMENTS: The appointee to this position will be required to complete a criminal background check, driving record check, and child protective services to the satisfaction of the employer.
This position is considered essential personnel and will be required to report to work during times designated countywide as approved for unscheduled leave regardless of the emergency situation (i.e., weather, transportation, other disaster).
Occasional evening and/or weekend work may be required.
PREFERRED QUALIFICATIONS:
- Four years of front-line administrative and customer service experience supporting staff in a Human Services environment.
- Experience with basic Microsoft Applications and enterprise systems such as SAP, SharePoint, OASIS, Electronic Management Systems, etc.
- One year of supervisory experience of staff.
PHYSICAL REQUIREMENTS:
Duties are generally sedentary and performed in a normal office environment. Ability to stand, stoop, bend, stretch, walk climb, sit, lift and carry up to 20 pounds. Ability to use automated technology and keyboard driven equipment. Sufficiently mobile to deliver mail, messages and records. All duties performed with or without reasonable accommodations.
