Job Description

This position plays a central role in supporting the successful planning, coordination, and execution of performances, academic programming, and engagement activities across the college of Arts & Science. Working collaboratively with faculty, staff, artists, vendors, students, and community partners, this position ensures events are well-organized, welcoming, and aligned with institutional goals for artistic excellence and community engagement. The role combines logistical planning, relationship management, financial oversight, and operational coordination to support a wide range of performances and programs while enhancing audience experience and strengthening partnerships both on campus and in the broader community.

  • Event Planning & Coordination: Coordinates all logistical aspects of performing arts, academic, and engagement events, including artist hospitality, catering selection, timeline creation, venue coordination, production schedules, load-in/load-out planning, staffing plans, and on-site event execution. Provides on-site coordination and oversight during events.
  • Vendor, Artist & Sponsor Management: Serves as liaison to performers, artists, agents, vendors, campus partners, and community stakeholders. Manages contracts, insurance, and compliance requirements in coordination with campus partners and maintains relationships that support smooth event execution. This person also works with local businesses and community partners to secure sponsorships, donations, and underwriting support, helping offset performance costs and keep University Concert Series events accessible and affordable for students and the community.
  • Outreach, Engagement & Communications Support: Plans and coordinates public and campus engagement events, including concerts, lectures, workshops, and special programming. Develops outreach initiatives to increase audience engagement, including partnerships with campus groups and local schools. Assists with event-related communications and promotional materials in partnership with marketing staff.
  • Budgeting, program admin support: Maintains event budget tracking, monitors expenses, and reconciles post-event financials. Assists with grant writing and reporting for the University Concert Series and related programming. Supports academic programs and college-hosted events as needed. Manages scheduling, space reservations, contracts, and administrative coordination related to events and programming.
  • Box Office & Front of House Coordination: Oversees student and volunteer staffing for performances and events across the School of Music, Department of Theatre, and University Concert Series. This role is responsible for recruiting, hiring, and training approximately 20 student employees and 60+ volunteers who support theatre box office and front-of-house operations. The coordinator develops and manages event staffing schedules, ensures students are properly trained in customer service and venue procedures, and provides on-site supervision to maintain smooth, professional operations during performances and events.
Shift

The typical schedule is Monday-Friday, 8 am to 5 pm. This role requires flexibility during peak event seasons and may also include extended work hours on Thursdays, Friday, and Saturdays to support scheduled events.

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and 3 years of experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications

  • Experience working in a performing arts venue, theatre, concert series, or university arts environment.
  • Experience with front-of-house operations, including box office coordination, audience services, or usher management.
  • Experience working with sponsorships, fundraising, or community partnerships.
  • Experience coordinating multiple events or performances across different departments or venues.
  • Experience working with community organizations or local businesses to support arts programming
Anticipated Hiring Range

Salary Range: $52,915.20 - $60,000.00 annually

Grade: GGS - 010
