Administrative Assistance Personnel Specialist

The Administrative Assistant will prepare reports & related correspondence in accordance with the Commanders' Support Staff Execution, Organization, and Responsibilities and USAF/USSF regulations and aid the government in organizing conferences and events.

Compensation & Benefits:

Estimated Starting Salary Range for Administrative Assistant: $70,000.00-75,000.00

Pay commensurate with experience.

Administrative Assistant Responsibilities Include:

  • Provide administrative support to the Emergency Management Flight to include clerical and administrative work.
  • Directly assist the flight chief in the management of all administrative support functions.
  • Create and/or proof Air Force appointments and memorandums in accordance with Tongue and Quill.
  • Provide advice and assistance in support of tracking internal suspenses to ensure timely production of quality reports and correspondence.
  • Update information in appropriate databases and programs to include ETMS2 (TMT) and ensure routing to appropriate staff.
  • Provide advice and assistance services in support of Base Records Management to include maintaining the official file plan for the flight, advising on official records and disposal requirements, accomplishing official records searches, and inspecting offices/electronic locations for compliance.
  • Advise and assist by providing expertise in areas of reviewing, proofreading, and correcting outgoing correspondence.
  • Maintain flight Outlook calendar by scheduling/canceling or deconflicting meetings and events as required.

Administrative Assistant Experience, Education, Skills, Abilities requested:

  • Bachelor's Degree.
  • 5-7 Years' Experience in an Administrative Assistant role, government experience preferred.
  • Familiar with USG (United States Government) applications; MilPDS, LeaveWeb, IAO Express, MyFSS, and CitiManager (Credit Cards).
  • Familiar with CSS (Trusted Agent for the Drug Demand Reduction Program).
  • Familiar with Personnel Flight (Evaluations and Retirement paperwork).
  • Ability to manage Outlook calendars and meeting coordination.
  • Ability to manage/maintain SharePoint sites.
  • Excellent organizational, interpersonal and judgment skills.
  • Excellent oral and written communication skills.
  • Proficient with the Microsoft Office Suite (Word, Excel, Power Point, SharePoint, Outlook).
  • Must pass pre-employment qualifications of Cherokee Federal.
