Job Summary

Assists in the coordination of Wolfe University Center facilities and event operations. Coordinates and schedules cleaning, maintenance and repairs for university property. May monitor and assess hazardous and unsafe situations.

  • Oversees day-to-day event and facility operations; addresses client concerns, last-minute changes, and escalations; keeps management and event coordinators informed of operational issues and patterns.
  • Ensures all event setups are completed accurately, on schedule, and in line with client specifications and Fire Marshal requirements
  • Analyzes facility and event data, including space utilization rates, staffing efficiency, and inventory turnover; produces reports with data-backed recommendations to improve operations and reduce waste
  • Tracks and evaluates spending on cleaning, janitorial, and maintenance supplies; conducts cost-benefit analysis for event production, staffing models, and overtime trends to inform budgeting decisions
  • Partners with Facilities Management on work orders, key control, repairs, and building-related needs; identifies recurring maintenance patterns and recommends process improvements based on trend data.
  • Supports emergency procedures (evacuations, lockdowns, fire drills, hurricane preparedness) in coordination with the University Emergency Team, Public Safety, and the Fire Marshal. Participates in the annual State fire safety inspection process.
  • Assists with serving as principal point of contact and liaison to Environmental Health and Safety, Facilities Management or other departments of the University as might be necessary for the safe and proper maintenance of university property.
  • Conducts daily building and event inspections to confirm safe conditions and compliance with Fire Marshal and ADA standards; verifies completion of event needs and repair work by staff or contractors.
  • Coordinates with facilities for work orders, key control, signage, and other building related matters.
  • Documents and reports incidents such as injuries, lost and found items, theft, and other facility matters; coordinates with FIU Police when appropriate.
  • Performs annual departmental inventory and oversight for property control. Tracks and maintains inventory of departmental physical assets; monitors usage patterns to support procurement planning.
  • Ensures the safety of the entire facility through maintenance and monitoring of work/repairs.
  • Participates in developing safety related policies, procedures, and operational guidelines.
  • Ensures development and implementation of premise related emergency response processes.
  • Collects and processes incident reports for Risk Management Committee.
  • Supports hiring, supervision, and training of staff; creates and maintains training materials; evaluates training outcomes to identify skill gaps and improvement areas.
  • Works with university departments, student organizations, and external community partners to plan and execute events, meetings, and large-scale productions
  • Performs essential duties in any emergencies such as hurricanes, storms, and/or any other university emergency closing. The employee is expected to be available to report to work as needed during university emergency closing with appropriate notification of a department administrator.


Minimum Qualifications

Bachelor's degree in an appropriate specialization; OR four (4) years of operational or related experience; OR an equivalent combination of relevant education and/or experience.
