Position Summary

EBI Consulting is seeking a full-time Project Coordinator to support clients within our Real Estate Practice. This role is responsible for staffing and coordinating projects within an assigned geographic region, technical area, and/or practice segment. The Project Coordinator plays a critical role in ensuring on-time project delivery, balanced workload distribution, and effective utilization of internal and external resources. In addition to staffing responsibilities, the Project Coordinator may assist with related operational tasks, including project booking, meeting and training coordination, onboarding and training new staff on calendar management, and supporting system updates.

This position reports to the National Project Coordination Manager and can either be a fully remote, work from home position, or report into our Burlington, MA corporate headquarters depending on the location of the successful candidate. As such, candidates must already have an established office in their residence and be able to thrive in this working environment or be comfortable working in an office environment.

Essential Duties and Responsibilities



  • Assign new project workload within one business day of booking, ensuring personnel with appropriate qualifications and experience are assigned to specific tasks
  • Make staffing decisions based on staff qualifications, availability, capacity, and deadlines, while considering cost-efficiency
  • Optimize resource utilization by minimizing travel costs, grouping site visits, and leveraging both internal and external resources
  • Coordinate with outside consultants and subcontractors as directed, including vendor fee negotiations, scope and deadline communication, purchase order management, and payment reconciliation
  • Manage site visit preparation activities, including subject property verification, ordering ERIS or other required services, provisioning templates, distributing POC verification and pre-survey questionnaires, and uploading client-provided materials
  • Confirm site visits for assigned assessors
  • Respond promptly and professionally to internal and external emails
  • Maintain accurate and up-to-date records within Salesforce
  • Communicate regularly with the National Project Coordination Manager and Area Operations Managers regarding staffing challenges, technical capacity concerns, and issue resolution
  • Enter and maintain assignments in staff calendars, including site visits and report writing time


Qualifications and Capabilities



  • Associate's Degree or higher from accredited university preferred
  • Less than 3 years administrative and/or operations support experience
  • In lieu of collegiate degree, an equivalent combination of education, training and professional experience may be considered

The reasonable estimate of the salary range for this position is $55,000 - $65,000. The salary range describes the minimum to maximum base salary range for this position across applicable US locations. This position may also be eligible for a bonus whereby total compensation may exceed base salary depending on individual performance. The actual compensation offered will be based on a range of factors that are considered in making compensation decisions including, but not limited to; geographic location, work experience, education, licensure requirements, knowledge, skills/level, qualifications and budget.
