*Parts Coordinator* *Position Overview* The Parts Coordinator is responsible for managing all breakfix parts operations, including researching inventory availability, coordinating orders, processing returns, and maintaining accurate documentation. This role serves as a liaison between internal teams and external vendors, ensuring timely procurement, accurate tracking, and smooth workflow across service and operations teams. The position requires strong organization, communication, and problemsolving skills.
*Key Responsibilities* * Coordinate information and workflows between service management systems and internal resource planning systems. * Manage service boards, update records, and ensure accurate tracking of partsrelated activities. * Handle ordering and receiving of parts, including entering purchase orders and sales orders. * Process part substitutions, warranty claims, and billable repair requests. * Research vendor availability, pricing, and inventory to support internal teams and customer needs. * Tailor and update diagnostic descriptions provided by technicians. * Communicate with vendors and internal teams to obtain return authorizations and shipping labels. * Process returns, defective items, and credit requests. * Maintain tracking spreadsheets and departmental documentation. * Generate reports for leadership, accounting, and operational teams. * Identify and resolve inventory discrepancies or process errors. * Support administrative tasks, maintain communication channels, and ensure followthrough across departments. * Build and maintain strong working relationships with vendors, customers, and internal stakeholders. * Perform other duties as assigned. *Skills & Attributes* * Highly organized with strong attention to detail. * Effective communicator who can work with both internal and external partners. * Strong multitasking ability and comfort working in a fastpaced environment. * Teamoriented mindset with the ability to collaborate across departments. * Ability to coordinate with remote team members. * Adaptable to changing customer or operational needs. * Proficient with general office applications and documentation practices. *Experience & Education* * Experience with administrative coordination, ordering, reporting, or similar operational tasks preferred. * Proficiency with standard office software (email, spreadsheets, word processing). * High school diploma required; some college or equivalent work experience preferred. *Job Type & Location* This is a Contract to Hire position based out of Brook Park, OH. *Pay and Benefits*The pay range for this position is $15.00 - $16.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
