Hourly Pay Range:

$19.89 - $28.84 - The hourly pay rate offered is determined by a candidate's expertise and years of experience, among other factors.

Position Highlights:

  • Position: Emergency Medicine Department Scheduler and Support Assistant
  • Location: Evanston Hospital
  • Full Time/Part Time: Full Time (40 hours per week)
  • Hours: Monday-Friday, 8:00AM-4:30PM

Job Summary:
The Department Scheduler and Support Assistant is responsible for managing clinical schedules, providing administrative support to the Emergency Medicine (EM) physician practice, and assisting with various department projects. This role serves as a vital point of contact for physicians, patients, and staff while ensuring the smooth operation of administrative tasks within the division.

What you will do:

  • Answer phones, serving as the first point of contact for physicians, patients, and others.
  • Transcribe and send certified letters to patients regarding lab results, medication changes, and follow-up instructions.
  • Create and maintain clinical schedules for 60+ ED physicians, in online scheduler-EZCall
  • Track annual mandatory and compliance requirements for ED physicians, including:
    • Pediatric CME
    • Trauma CME
    • Flu Program
    • Risk Management Annual Learning Module
    • OB Hemorrhage & Hypertension
    • OPPE
    • SRE
    • Communication Course
    • Fit Testing
    • Stroke Training
  • Follow up on CME/certification requirements and staff CME reimbursements.
  • Automate and maintain personnel files.
  • Administrative support, such as compiling miscellaneous ED reports as assigned, coordinating meetings, ordering office supplies, managing mail and fax correspondences, preparing and submitting bi-weeky overtime hours, tracking physician vacation hours, tracking staff reimbursements and office maintenance tickets.
  • Coordinate with the Legal Department on risk management matters.
  • Work closely with the Division Head, Physician Leads, physicians, staff, and medical education programs (residents, medical students, PA students, and fellows).
  • Provide support to RN/APP staff.

What you will need:

  • Education: High school diploma or equivalent work experience required.
  • Certification: N/A
  • Experience: Minimum of 1 year of relevant work experience required; medical office experience preferred.
  • Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
