Job Summary:

The Office of Admissions is responsible for recruiting and enrolling medical students to Feinberg School of Medicine. This is accomplished through recruiting efforts and accurate and efficient processing of admission applications. The Office of Admissions is the first point of contact for prospective students and other members of the community. Prompt, accurate and courteous communications is critical to the successful operation of this office.

The Recruitment & Outreach Coordinator supports the recruitment of exceptional students to the Northwestern University Feinberg School of Medicine.

Specific Responsibilities:

Administration

  • Ensures that program/project mission, values, guidelines, policies & procedures are implemented & maintained.
  • Oversees development and implementation of new program/project initiatives.
  • Recommends changes and enhancements to leverage technology to best serve the greatest number of students as effectively as possible.
  • Researches peer and cutting-edge developments regarding technology and recommends changes and enhancements that will improve delivery of resources
  • Oversees development & implementation of quantitative & qualitative measurements that ensure that program/project benchmarks related to recruitment, admissions, and outreach are successfully attained and communicated in a timely and efficient manner.
  • Reviews processes and recommends changes and enhancements to incorporate state-of-the-art technology as appropriate into administrative, recruitment, marketing, and educational components.
  • Identifies service improvement opportunities that will better enable program/project to achieve its goals and objectives.
  • Continually assesses and innovates program/project to achieve educational goals.

Communications & Outreach

  • Creates, updates and maintains state-of-the-art website, social networking site, chat rooms, etc. that describe, highlight and explain resources and services.
  • Responsible for all existing program web content and updates and collaborating with the Office of Communications to develop solutions to meet evolving on-line content needs.
  • Develop and implement a communication and outreach strategy that spans the prospective student life-cycle, including conversion of admits to matriculates.
  • Communicates consistently and effectively with prospective students in person and via phone, email, social media, printed media, and the internet.
  • Meets quantitative and qualitative departmental goals for inquiries, applications, admitted and enrolled students.
  • Directs program/project marketing/branding efforts.
  • Ensures that all advertising and marketing materials accurately represent programs.
  • Interacts with internal/external resources & organizations to identify new markets & opportunities.
  • Builds relationships with program/project alumni to develop and cultivate professional networks, financial resources, and sense of community among alumni.

Admissions Recruitment & Events

  • Identify and analyze recruitment trends, develop and implement recruitment strategy for FSM MD Program.
  • Identify and manage recruitment resources, and implement policy for program to utilize resources for maximum ROI.
  • Supervises the planning and execution of communications and marketing for recruitment events.
  • Participates in developing, implementing, and supporting annual recruitment plan throughout the U.S., which includes attending education fairs, career fairs and professional conferences to promote the school; may require out of town travel 3-5 times per year.
  • Manages programs, meetings, workshops, trainings, and events designed to provide information, promote resources and build internal and external relationships.
  • Manages Admissions event details including communication, venues, presenters, travel arrangements, materials, refreshments and technology, ensuring that all are arranged and completed in an appropriate and timely manner.
  • Develop and maintain content for information sessions, website and print publications.
  • Contributes significantly to office-sponsored events (End of Year Dinner, Second Look, Interview Days, campus tours and visits, speaking engagements, etc.).

Evaluation

  • Manages evaluation processes; recommends & implements changes for enhancement; monitors effectiveness through follow-up evaluation studies.
  • Analyzes program sessions and interacts with participants for purpose of gaining insight, growing and strengthening program knowledge, and optimizing the student experience.
  • Reviews & analyzes outcome measurements and recommends changes & enhancements to improve program.
  • Conducts annual review of all communications at each stage of the enrollment funnel from prospect to enrollment.
  • Analyzes and reports effectiveness of outreach and communication plans as part of a periodic program review process.
  • Analyze and report regularized and ad-hoc recruitment/admissions data for the admission committee and all internal and external reporting requirements

Strategic Planning

  • Administers & maintains existing strategic recruitment plans.
  • Participates with area/unit senior staff in the conceptualization, development and presentation of materials used in functional operations.
  • Identifies opportunities and strategies for short- and long-term growth and expansion of program resources, value and participation.
  • Reviews analytics to enhance the University's image among prospective students in ways that lead to increased enrollment aligned with the specific goals of each medical education program.
  • Reviews market trends and best practices to recommend initiatives that will contribute to annual enrollment goals.
  • Researches peer, competitor, and state-of-the art developments to enhance, improve, and innovate program topics and delivery to better meet goals & objectives.
  • Provides advice, counsel and recommends changes and improvements to functional operations to better meet organizational needs and objectives.

Internal and External Collaboration

  • Partners internally with FSM Admissions and faculty and consults with student affairs, academic departments, student organizations and administrative offices to exchange information related to medical school admissions.
  • Creates and nurtures relationships with alumni and other constituents to develop an engaged network that actively contributes to the success of program.
  • Collaborates with internal/external partners to implement changes designed to improve/increase program goals/objectives.
  • Develops and maintains peer networks of other admissions officers at other medical schools and collaborates on best practices.
  • Initiates, develops and maintains partnerships with undergraduate and post-baccalaureate institutions and other organizations to facilitate and enhance student recruitment.
  • Develops and fosters relationships with pre-health advisors, Program Directors, and faculty for the purpose of recruiting highly qualified and diverse applicants.
  • Provides training and guidance to pre-health advisors through in person meetings, training sessions, and phone calls.
  • May participate in national and regional committees within the AAMC.

Miscellaneous

  • Assists with Department of Medical Education events as needed (exam proctoring, workshops, graduation, White Coat Ceremony, Arrival Week, awards ceremonies).

Minimum Qualifications: (Education, experience, and any other certifications or clearances)

  • Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree; OR appropriate combination of education and experience.
  • 1 year program/project administration or other relevant experience.

Minimum Competencies: (Skills, knowledge, and abilities.)

  • Extraordinary interpersonal skills; must be able to effectively communicate with a wide range of populations throughout the day, including traditional and nontraditional students, faculty, school staff and administrators, and university leadership.
  • Experience working in a professional setting with demonstrated ability to manage a high volume of tasks simultaneously.
  • Team-oriented approach and desire and ability to work closely with peers.
  • Sensitivity to working in a multicultural setting is imperative.
  • Proficiency with Microsoft Office suite and Google suite.
  • Project management skills: organization, prioritization, meeting deadlines.
  • Professional dress required.
  • Responsibility handling confidential information.
  • Exceptional written and verbal communication skills, including proofreading and editing skills, and an excellent command of the English language and grammar.

Preferred Qualifications: (Education and experience)

  • Master's Degree with 5-7 years of previous job-related experience is preferred.
  • Academic medical center work, medical education experience, and enrollment management experience are highly desirable.
  • Must possess excellent communication and presentation skills.
  • Ability to articulate the mission of the University, and the ability to manage multiple tasks in a professional setting.
  • A strong work ethic and desire to work with students from diverse backgrounds necessary.
  • Cultural humility and willingness to adapt and learn are critical.
  • An understanding of social determinants of health, health disparities, community and underserved medicine are preferred.

Preferred Competencies: (Skills, knowledge, and abilities)

  • Knowledge of and ability to work with website design and development.
  • Knowledge about implementing social media strategies and efforts on an institutional level.

Target hiring range for this position will be between $51,346 - $64,473 per year. Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.
