Job description

Role Overview:

The Legal Invoice Review Quality Assurance Analyst (QA Analyst) will be responsible for performing quality assurance testing for the Legal Bill Analysis Center of Excellence (LBACOE). The Legal Bill Analysis (LBA) process involves the prompt, accurate, and efficient auditing of electronically submitted legal fee and expense invoices from law firms and vendors.

The QA Analyst will conduct expert peer reviews of invoice analysts' work while independently applying specialized legal knowledge. This role includes assessing legal context, making additional invoice adjustments when necessary, and documenting justifications for those adjustments. The analyst will also communicate with law firms regarding invoice disputes and support appeals resolution processes.



Key Responsibilities:

Quality Assurance & Invoice Review



  • Review invoice line item adjustments and non-adjusted entries made by Legal Invoice Analysts.
  • Apply legal subject matter expertise to assess invoice accuracy and context.
  • Perform gap analysis to interpret the legal "story" behind invoices.
  • Verify compliance with legal billing guidelines.
  • Validate accuracy of UTBMS task, activity, and expense codes.
  • Make additional adjustments to invoice line items when necessary.
  • Document rationale for all adjustments, including guideline violations.
  • Correct both adjusted and non-adjusted invoice entries as needed.
  • Forward reviewed invoices through the appropriate workflow.


Appeals & Law Firm Communication



  • Handle law firm appeals regarding invoice adjustments.
  • Communicate professionally in writing with law firms to resolve disputes.
  • Engage in expert-level legal discussions to reach mutually agreeable outcomes.
  • Organize and manage reconsideration requests from law firms.
  • Support mediation efforts by analyzing legal context and billing guidelines.
  • Prepare written summaries of appeals and resolutions for client review or conferences.


Process Support & Collaboration



  • Provide guidance to internal teams on legal billing issues and process improvements.
  • Extract key legal concepts from invoices to support decision-making.
  • Contribute to continuous improvement of the Legal Bill Analysis process.



Required Qualifications:



  • Law degree required (JD or LLM).
  • Strong knowledge of legal billing, invoice auditing, and billing guidelines.
  • Familiarity with UTBMS coding standards.
  • Ability to analyze complex legal and billing information.
  • Strong written communication skills for professional correspondence with law firms.
  • Ability to work independently with sound judgment and minimal supervision.
  • Experience in law firm environments or legal billing review preferred.
