*Job Summary*
The Administrative Support Coordinator will serve as a key liaison between the Owner, Human Resources/Controller, and internal stakeholders. This role is designed to alleviate administrative workload by providing reliable, timely, and confidential support across daily operations. The position also includes light shipping and packing responsibilities to support operational needs. The ideal candidate is organized, detail-oriented, and service-focused, with the ability to manage both administrative and physical tasks in a fast-paced environment. ** MUST BE ABLE TO HELP WITH INVENTORY *** Move, lift, and carry materials and packages weighing up to *50 pounds*, as required *Key Responsibilities* * Act as an administrative intermediary between the Owner, HR/Controller, and management team to ensure effective communication and workflow coordination * Assist the Owner and management with a wide range of administrative duties, including filing, organizing documents, and conducting miscellaneous research projects * Handle purchase requisitions and place supply orders while maintaining accurate records of orders, invoices, and inventory * Perform data entry and processing of purchase orders, bills, and related documentation with a high level of accuracy * Manage and maintain relationships with third-party vendors and service providers related to office operations * Assist with shipping and receiving functions, including packing outgoing items and preparing shipments * Help ensure shipments are properly labeled, documented, and prepared for delivery or pickup * Ensure all requests and tasks are fulfilled in a timely and efficient manner * Maintain strict confidentiality of sensitive company and employee information * Represent the company in a professional and courteous manner to employees, customers, and business partners *Required Top Skills* * Customer Service Experience * Ability to communicate professionally and effectively with internal and external stakeholders * Basic Computer Skills * Proficiency with standard office software, email platforms, and internet-based tools * Basic Excel Skills * Ability to enter data, maintain spreadsheets, and perform basic formatting and calculations *Secondary Skills (Nice to Have)* * Prior experience in an administrative, office support, or shipping/receiving role * Familiarity with packing, shipping procedures, or inventory tracking * Experience coordinating with vendors or third-party service providers *Additional Skills & Qualifications* * Strong organizational and time-management skills * Ability to manage multiple tasks and shifting priorities with minimal supervision * Attention to detail and commitment to accuracy * Ability to perform light physical work, including lifting up to 50 pounds * Professional demeanor with strong written and verbal communication skills * Proven ability to handle confidential information with discretion and integrity *Job Type & Location* This is a Contract to Hire position based out of Troy, NY. *Pay and Benefits*The pay range for this position is $18.00 - $20.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
