Key Responsibilities: Entry Level:
Serve as a member of the Pre-Award Shared Services (PASS) team, working closely with Principal Investigators, department administrators, the Office of Grants and Contracts, and PASS colleagues. Support faculty in preparing and submitting NIH Research Performance Progress Reports (RPPRs) and VA Intergovernmental Personnel Act Agreements (IPAs), with multiple review checkpoints prior to submission. Develop foundational knowledge of NIH and University policies related to grants management, including personnel effort reporting, Current and Pending Support, Notice of Award review, and progress report requirements. Prepare draft budgets using Microsoft Excel and university personnel systems, transferring information into sponsor formats under supervision. Ensure assigned tasks are completed on schedule and meet internal and external deadlines. Communicate reporting requirements clearly to Principal Investigators and administrators, accurately interpreting university and sponsor guidance with support from more experienced staff. Assist in ensuring compliance with institutional policies and external regulations related to research funding and grant submissions. Contribute to additional duties as assigned, including assisting with specific components of full research grant applications as part of ongoing training and always under the direction and review of intermediate, senior, manager, or Director-level staff.
Intermediate Level:
Function as a key member of the Pre-Award Shared Services (PASS) team, collaborating with Principal Investigators, department administrators, the Office of Grants and Contracts, and PASS colleagues. Independently prepare and submit NIH Research Performance Progress Reports (RPPRs) and VA Intergovernmental Personnel Act Agreements (IPAs), seeking guidance as needed and ensuring accuracy prior to supervisory review. Maintain and expand working knowledge of NIH and University grants management policies, including personnel effort reporting, Current and Pending Support, Notice of Award review, and progress report requirements. Prepare budgets using Microsoft Excel and university personnel systems, and accurately transfer budget information into sponsor-required formats with minimal oversight. Manage workload to ensure all assigned reports and agreements meet internal and external deadlines. Communicate reporting requirements effectively to Principal Investigators and administrators, providing accurate interpretation of university and sponsor guidance with increasing independence. Monitor and support compliance with institutional policies and external regulations related to research funding and grant submissions. Assist with additional duties as assigned, including occasional preparation of full research grant proposals, completed under the direction and review of a supervisor.

Experience with electronic Research Administration tools such as InfoEd and eRA Commons. Experience working in an academic environment or medical center. Previous research administration experience.
Knowledge, Skills, and Abilities (All Levels):
Ability to communicate effectively, both in writing and orally. Ability to establish and maintain effective working relationships with employees at all levels throughout the institution. Outstanding customer service skills. Ability to prioritize and handle multiple competing deadlines in a fast-paced environment. Ability to maintain a high level of confidentiality with sensitive information. Proficiency with the Microsoft Office suite, specifically Outlook and Excel. Proficiency with web applications. Proficiency with PeopleSoft (HR6MS &/or Finance). Basic math proficiency and demonstrated experience developing budgets.

Anticipated Pay Range: |
The starting salary range (or hiring range) for this position has been established as:
Entry Level: $50,160 to $67,215 Intermediate Level: $54,586 to $73,145
The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
