Position Description: The Grants Project Coordinator & Data Processing Specialist, Senior provides senior-level operational, project coordination, and transaction processing support for federal grant review and application activities. This role serves as a lead resource for coordinating complex grant review operations, overseeing application processing activities, maintaining data integrity across grant systems, and ensuring compliance with federal program requirements and organizational standards.

The Senior-level professional works independently with minimal supervision and is responsible for managing high-volume, deadline-driven activities while supporting process improvement initiatives, operational oversight, and cross-functional coordination. This position also provides guidance and mentorship to junior and associate staff, supports quality assurance activities, and assists management with operational planning, reporting, and workflow optimization.

The ideal candidate is highly organized, analytical, detail-oriented, and experienced in federal grant review operations, data processing, and project coordination within structured and compliance-focused environments.

Duties and Responsibilities

Grant Review and Project Coordination Leadership



  • Lead coordination and administration of grant review activities, including reviewer recruitment, panel assignments, scheduling, and review documentation management.
  • Oversee preparation and maintenance of program support materials, SharePoint sites, tracking tools, templates, webpages, and operational records.
  • Manage reviewer communications and monitor reviewer participation to ensure timely completion of review activities and adherence to program requirements.
  • Coordinate and facilitate orientation sessions, panel meetings, and virtual review activities using Zoom and related collaboration platforms.
  • Serve as a lead point of contact during panel discussions by providing technical coordination, attendance management, ARM support, and issue resolution.
  • Monitor review schedules, operational timelines, and deliverables to ensure project milestones and deadlines are achieved.
  • Review and validate panel scoring activities, reviewer assignments, and closeout documentation for accuracy and completeness.
  • Support management with operational planning, workload coordination, and prioritization of grant review activities.


Grant Application Processing and Data Management



  • Oversee intake, processing, validation, and tracking of grant applications submitted through Grants.gov and related federal systems.
  • Manage complex application processing activities within GrantSolutions, ARM, and other grant management platforms.
  • Conduct detailed quality assurance reviews to ensure application completeness, data accuracy, regulatory compliance, and adherence to established procedures.
  • Analyze processing logs, reports, and operational metrics to identify trends, discrepancies, risks, and process improvement opportunities.
  • Resolve complex operational and transaction processing issues independently while escalating high-risk or policy-related matters appropriately.
  • Coordinate reconciliation and transfer of application materials and panel documentation between grants management systems.
  • Ensure integrity, accuracy, and audit readiness of operational records, tracking systems, and processing documentation.
  • Assist with development and implementation of standardized workflows, quality controls, and operational procedures.


Operational Oversight and Quality Assurance



  • Lead quality assurance activities related to data validation, document processing, operational compliance, and grant review procedures.
  • Review operational outputs, reports, payment tracking records, closeout documentation, and incident reports for accuracy and completeness.
  • Ensure compliance with federal grant processing requirements, organizational SOPs, quality standards, and data security protocols.
  • Support operational audits, reporting activities, and management reviews by preparing detailed documentation and status updates.
  • Identify operational inefficiencies and recommend workflow enhancements, automation opportunities, and process improvements.
  • Monitor adherence to service-level expectations, operational deadlines, and quality benchmarks.


Team Support and Collaboration



  • Provide mentorship, training, and operational guidance to junior and associate staff members.
  • Assist with onboarding and knowledge transfer activities related to systems, workflows, and grant review operations.
  • Serve as a resource for troubleshooting operational and system-related questions from team members.
  • Collaborate with managers, clients, reviewers, and cross-functional teams to support efficient grant review and processing operations.
  • Participate in operational planning meetings, continuous improvement initiatives, and process development activities.


Requirements

Education and Experience



  • Bachelor's degree or equivalent combination of education and relevant experience preferred.
  • Minimum of 5-7 years of experience in grants administration, federal grant review operations, project coordination, transaction processing, data management, or related operational environments.
  • Demonstrated experience supporting federal grant programs, peer review operations, or government program administration required.
  • Experience coordinating complex operational workflows, quality assurance activities, and deadline-driven processing environments.
  • Prior experience providing guidance, mentorship, or workflow coordination support to team members preferred.

Compensation and Benefits

The projected compensation range for this position is $33.45/hr - $36.85/hr benchmarked in the Washington, D.C. metropolitan area. The salary range provided is a good faith estimate representative of all experience levels. Salary at LCG is determined by various factors, including but not limited to role, location, the combination of education/training, knowledge, skills, competencies, certifications, and work experience.
