The Senior Administrative Assistant plays a vital role in supporting overall office operations and maintaining a professional, welcoming environment. This position serves as the primary point of contact and the first individual to greet visitors, while also acting as a key liaison for employees, guests, and external partners. The Senior Administrative Assistant is responsible for coordinating meetings, overseeing office and facility services, supporting employee onboarding, and providing comprehensive operational support to management and a staff population of more than 160 employees. This role requires exceptional organizational skills, strong attention to detail, and the ability to effectively manage multiple priorities in a fast-paced office environment.

In the role of Senior Administrative Assistant, we'll count on you to:

  • Lead front-desk and reception functions, serving as the first point of contact for visitors, employees, and external partners, and answering and directing incoming phone calls
  • Coordinate meetings, conference rooms, and meeting logistics, including ordering lunches as needed
  • Order and manage all office, kitchen, and operational supplies to support daily business needs
  • Manage mail, deliveries, and shipping requests
  • Process expense reports, invoices, and light accounting tasks
  • Support onboarding of new employees, including paperwork, badge creation, and workstation setup
  • Act as the primary point of contact for facilities-related services, including cleaning, maintenance, and kitchen appliances
  • Provide general administrative and operational support to Senior Management and office staff as needed
  • Perform other duties as assigned

Preferred Qualifications

  • Associate degree or equivalent experience
  • 7+ years of performing comparable duties will be considered in lieu of administrative support experience
  • Strong organizational, communication, and multitasking skills
  • Professional demeanor with the ability to interact effectively with employees and visitors
  • Ability to handle confidential information

Required Qualifications
  • High School diploma or equivalent
  • A minimum of 3 years experience in administrative support
  • Knowledge of MS Office Suite, including Word and Outlook
  • Excellent verbal and written communication skills
  • Professional, self-motivated, well-organized and detail-oriented with the flexibility and ability to prioritize and handle multiple tasks in a fast-paced environment
  • Ability to meet deadlines
  • Knowledge of A/E industry desired
  • Experience working in an office environment
  • An attitude and commitment to being an active participant of our employee-owned culture is a must
