(This role has a hybrid schedule with 3 days in office and 2 days flex-remote)

The UHS Public Relations & Corporate Communications Department is hiring a Project Manager - Meetings & Events to oversee every detail to deliver exceptional experiences and make a meaningful organizational impact. This role is responsible for driving the planning and logistical execution of a diverse portfolio of Corporate meetings and events, ranging in size and audience.

Key Responsibilitiesinclude:

  • Lead the planning and management of the company's flagship event, the annual Hospital Management Conference (HMC), along with various other corporate events
  • Execute operationally the meeting requirements and agenda approved by the HMC Executive Steering Committee. Responsible for the identification of meeting site, offsite venues, vendors. Responsible for the planning of the onsite event including the oversight of the concierge team, hotel liaisons and other vendors. Oversee and manage the registration process, travel vendor and coordinates the logistics with the external speakers. Orchestrate onsite event set-up, attendee experience, and show flow through managing resource assignments, handling escalations and ensuring leadership expectations are met
  • Responsible for site inspections, hotel management, food & beverage, liaison for audio/visual needs, promotional items, World Travel Conference contact
  • For all Corporate events and large-scale meetings, construct a project management plan for approval by the Executive in charge
  • Manage to the event budget; document and process invoices; provide spend recap post-event
  • Oversee onsite event orchestration to ensure seamless execution that exceeds expectations
  • Manage and administer licensed event software and Conference App platforms, utilizing these tools for efficient event programming and attendee engagement
  • Align event strategies with leadership focus, company priorities, and training objectives
  • Identify and maintain inventory of HQ approved hotels, restaurants for group dinners and caterers for onsite meetings. Responsible for the hotel and restaurant contracts for leadership, training and other events. Develops and maintains 'meeting in a box' checklist to assist in department-level meeting orchestration, partnering with the Executive Assistants to educate and consult for their various smaller-scale events

  • Build and manages post-event surveys, compiling and reporting on results, including improvement opportunities


Qualifications

Bachelor's degree with a minimum of 5 years' experience in corporate meeting & event planning.

  • 5+ years of experience in a deadline driven, fast-paced environment
  • Experience in a strategic meeting management function within a large corporate setting
  • Excellent verbal and written communication skills with all levels of the organization, external partners and vendors
  • Recent experience with event technology (Cvent preferred)
  • CMP (Certified Meeting Professional) certification or CMM (Certificate in Meeting Management), preferred
  • Up to 10% US Travel. Mostly local from HQ for onsite execution
