Operations Management Job Summary

Responsible for managing the general activities of assigned areas and/or projects. Provides oversight for administrative functions and financial management specific to assigned operations. Analyzes and evaluates service for quality and process improvement including productivity, strategic planning, budget management, and development of performance standards. Seeks out business and grant-funded opportunities to increase the health, quality and value success of all services. Responsible for creating optimal access, quality and safety for all services. Leads multidisciplinary workgroups dedicated to managing and supporting deployment of new initiatives and process improvement. Committed to continuous improvement and learning. Coaches newer team members in order to expand their capabilities. Partners with nursing leadership, ambulatory leadership, Medical Group leadership, community members and other key partners.

Essential Functions:
  • Operational:
    * Develops strategies for sustaining and improving existing programs and program expansion.
    * Devises strategies and methods to assure the implementation of goals and objectives through the development and refinement of department procedures.
    * Conducts process improvement projects. Able to facilitate large groups and meetings of diverse stakeholders.
    * Directs and brings to timely and successful completion assigned initiatives and tasks.
    * Actively identifies problems and opportunities for improvement; identifies appropriate solutions and involves others in the implementation process.

  • Administrative:
    * Effectively analyzes and uses data and reports to establish standards to monitor and improve team performance.
    * Develop standard work documentation, policies, and procedures.
    * Incorporates lessons learned from project close-outs to continually improve operations project management strategy.
    * Monitors key performance indicators throughout the department, identifying areas for greater effectiveness, efficiency, and overall improvement.
    * Champions/models improvements to departmental standards/guidelines/protocols. (20%)
  • Committee Participation/Collaboration:
    * Negotiates, cultivates and maintains partnerships through ongoing strategic planning process.
    * Assists in developing the annual operating plan and annual report of activities.
    * Creates positive partnerships organization wide to promote professional reputation of the team as a whole.
    * Manages contract relationships with customers/clients and vendors.
    * Serves as the liaison with other departments to complete business objectives.
    * Shares responsibility for team outcomes. (15%)
  • Leadership:
    * Provides project advocacy for the enhancement of comprehensive integrated primary health service delivery.
    * Furthers the development of knowledge and expertise regarding community health, advancing the model in Denver, Colorado and the nation.
    * Leads multidisciplinary workgroups (15%)

Education:
  • Bachelor's Degree in Hospital Administration, Business Administration, Public Administration or a related field Required
  • Master's Degree preferred

Work Experience:
  • 4-6 years Typically, six years of professional experience in healthcare administration. Related experience in ambulatory administration, project management, operations management, business development, budget development, financial and operational modeling/forecasting preferred. Required

Licenses:

    Knowledge, Skills and Abilities:

    • Knowledge of operational management and improvement practices sufficient to be able to accomplish assigned division objectives.
    • Knowledge of community-based agencies and resources necessary to support health and health education
    • Skills in establishing and maintaining effective working relationships with patients, employees, physicians, and the public
    • Ability to maintain quality control standards
    • Ability to interpret, adapt, and apply guidelines and procedures
    • Ability to present to large groups and have quality public speaking skills
    • Ability to develop training and instructional material
    • Knowledge of electronic health records, Epic preferred
    • Proficient with project management tools and Microsoft Office Suite (particularly Outlook, Word, Excel, and PowerPoint)
    • Knowledge of regulatory standards and compliance requirements.
    • Skilled in decision making and analyzing data
    • Ability to work independently as well as collaboratively with other internal and external team members to ensure timelines are met.
    • Ability to act as a resource to staff for operational and administrative questions.
    • Ability to maintain effective working relationships with medical staff, administration, and other departments.
    • Has emotional intelligence and quotient, professional communication and interpersonal skills.
    • Strong organizational skills to set priorities and ability to work with high degree of accuracy and attention to details while responding to tight deadlines and multiple priorities and demands.
    • Ability to communicate positively and effectively both written and verbal to a variety of staff, managers, administration and other professionals.
