Responsibilities

CWRU:

    Program Management (Enterprise Fleet Management Program, Fill-Rite, EverCharge)
  • Customer Service
  • Assist with interrelated projects
  • Collaborate with vendors, contractors, and external partners
  • Clerical Support and record keeping
  • Preparing monthly reports
  • Assist on other parking, transportation, and fleet projects and tasks.

Metropolis:

  • Coordinating and obtaining the yearly Parking Licenses from the CIty of Cleveland
  • Enforcement program assistance including but not limited to citation appeals
  • Assisting with first stages of the hiring process
  • Completing monthly Dashboard reports for Parking and Shuttle operations

The duties listed below are intended only as an illustration of the various types of responsibilities that may be assigned to this role. The omission of specific statements of duties does not exclude them from the position if the work is similar, related or a logical assignment to the position.

  • Answer incoming telephone calls
  • Compose, edit and/or type business correspondence and basic business documents
  • Maintain organizational charts for Department
  • Develop PowerPoint presentations for client meetings
  • Distribute and sort incoming mail and faxes for office staff
  • Send out departmental mail via UPS, FedEx, US Mail, and courier service and/or accept deliveries.
  • Maintain and order office supplies
  • Coordinate conference room reservations or group meetings
  • Assist with office management duties as needed (e.g. operate and arrange maintenance of copier, fax machines, computer and other office equipment).
  • Maintain correspondence files and other electronic filing and/or hard copy filing either on-site or in storage.
  • Complete other administrative duties as assigned, such as:
    • Make travel arrangements
    • Process and submit expense reports on behalf of direct managers.
    • Submit payment requests for invoices to the Accounts Payable Department
    • Respond to customer inquiries (e.g. answer questions regarding the company's parking facilities and requests for refunds).
  • Additional Duties:
    • Administer and support departmental programs, including fleet management, fuel management, electric vehicle charging infrastructure, and other parking and transportation initiatives.
    • Coordinate and manage the Enterprise Fleet Management Program, including vehicle acquisitions, disposals, maintenance tracking, reporting, and customer support.
    • Administer the Fill-Rite fuel management system, ensuring accurate fuel usage tracking, reporting, and record maintenance.
    • Support the operation and administration of EverCharge electric vehicle charging stations, including customer assistance, vendor coordination, and utilization reporting.
    • Provide exceptional customer service by responding to inquiries, resolving issues, and assisting faculty, staff, students, and visitors with parking, transportation, and fleet-related needs.
    • Assist with the planning, coordination, and implementation of interrelated parking, transportation, and fleet management projects.
    • Collaborate with vendors, contractors, consultants, and external partners to support departmental operations, programs, and strategic initiatives.
    • Maintain accurate records, databases, files, and documentation related to parking, transportation, fleet, fuel, and electric vehicle charging programs.
    • Prepare and distribute monthly operational, financial, utilization, and performance reports for departmental leadership and stakeholders.
    • Provide clerical and administrative support, including correspondence, scheduling, data entry, purchasing, invoicing, and record retention.
    • Assist with contract administration, vendor communications, and monitoring of service agreements.

      Support departmental technology systems and software platforms related to parking, transportation, fleet management, fuel management, and customer service.

      Assist with special events, operational planning, and transportation logistics as needed.

      Participate in process improvement initiatives to enhance operational efficiency, customer service, and program effectiveness.

      Assist with other parking, transportation, and fleet-related projects, programs, and duties as assigned.



Qualifications

  • Must be professional and have excellent verbal and written communication skills; Excellent grammar and spelling skills required
  • Must be diligent and conscientious; self-starter who can work with minimal supervision.
  • Must have excellent time management and organizational skills (multi-tasking, prioritization, deadline orientation)
  • Must have excellent typing skills (speed and accuracy); Preferably at least 40 WPM or better
  • Proficiency using Microsoft Office Suite (Word, Excel, PowerPoint); Google Mail, Calendars and Docs.
  • Ability to interact professionally and courteously with clients, customers, office personnel and contractors.
  • Knowledge of modern office practices and procedures.
  • A professional appearance/presentation.

Salary Range: $55,000 - $60,000 annually per year
