Description
Responsibilities Concur Training &Travel Planning
- Receive request for employee training and travel, process training registrations including but not limited to completing registrations and paying fees with company credit card, reserving hotel and/or car rental, scheduling air travel, all to create and confirm travel arrangements and travel itineraries for employees
- Process training and travel invoices by securing names of parties involved and list by Location, Department and Account Number/Code where expenses are assigned. Include Account Number/Code list with Invoice and forward to AP once signatures are added
- Create Check Requests as needed for training and travel related expenses
Concur Pcard Expense Account Reporting
- Monitor Pcard expenses, secure transaction receipts, complete expense report for each transaction, submit a copy of Expense Report to the Credit & Collections Supervisor for each Period for the monthly Expense Report approval and payment
Corporate Training Log
- Add employee training and travel information to the Corporate Training Log
- Follow the columns across completing needed information in all columns that apply
- Be prepared to sort Training Log by Name, Course Title, Training Details, Skills Description, etc. to track training down to department and employee
- Keep Log updated and current for when requests for information on the Training Log are needed for Safe Quality Food Audits, Department Managers, Human Resources and individuals
Administration
- Orders training materials, binders, dividers, etc.
- Copies and/or prints, collates training materials
- Orders books on Red Gold business related topics by request
- Maintains companywide topic specific Participant Lists, i.e. Leadership Essentials & Tomato Knowledge
Receptionist Relief Duties
- Answers telephone
- Greets visitors
- Ensures all visitors sign in and out and receive the appropriate credentials (badge) and/or escort to enter the facility
Mail and Shipments
- Sorts and Distributes incoming mail
- Stamps (meter) and sends outgoing mail
- Prepares UPS and FedEx mailings both in the computer and physically packaging/labeling container(s)
Company Vehicle/Aircard/Gas Card Maintenance
- Responsible for the tracking and handing out of Company Vehicle Keys, Aircards, and Gas Cards
Qualifications Education & Experience
- High School Diploma
- 3-5 years professional office experience
- 3-5 years of human resources experience
Knowledge, Skills, & Abilities
- Telephone skills/PBX
- Computer proficient - MS Office (especially Excel, PowerPoint and Word)
- Computer savvy in various software applications including the Internet
- Must be able to look at computer screen for several hours at a time
